About the RoleWe are seeking a highly organized, detail-oriented, and patient-focused Mental Health Administrator to support the daily operations of a busy outpatient psychiatric practice. This role serves as the central point of communication between providers, patients, insurance companies, and internal staff. The ideal candidate thrives in a fast-paced healthcare environment, is comfortable managing multiple priorities at once, and understands the importance of accuracy, confidentiality, and professionalism in behavioral health.
Key Responsibilities- Manage all referrals & new patient appointments
- Handle high-volume inbound and outbound phone calls professionally
- Assist patients with intake, forms, and communications
- Verify and update patient demographics and insurance information as needed
- Maintain and update patient charts in the Electronic Medical Record (EMR) system
- Scan, upload, request, and transfer medical records
- Process releases of information (ROI) in compliance with HIPAA
- Coordinate schedules for psychiatrists, therapists, and mid-level providers
- Process & track prior authorizations, referrals, and lab results
- Communicate with pharmacies, labs, and outside providers as needed
- Maintain organized electronic files
- Process patient forms, FMLA, disability, letters, and medical records requests
- Support office workflow improvements and operational efficiency
- Minimum 2 years of experience in a medical or behavioral health office
- Hands‑on experience with an EMR system (required)
- Strong multitasking and time‑management skills
- High attention to detail and confidentiality
- Ability to manage a fast‑paced, patient‑facing workload
- Experience in psychiatry, behavioral health, or mental health practice
- Prior authorization and insurance verification experience
- Knowledge of psychiatric medications and terminology
- Experience working with sensitive or distressed patient populations
- Compassionate and patient‑focused
- Organized and reliable
- Comfortable handling confidential and sensitive information
- Able to work independently and problem solve
