Front Desk Coordinator

Full-Time | Orlando, FL

The Cardiovascular Center of Florida (CVCFL) is seeking a professional, customer-focused, and highly organized Front Desk Coordinator to join our growing team. The Front Desk Coordinator serves as the first point of contact for patients, visitors, and providers, playing a critical role in delivering an exceptional patient experience while supporting the daily operations of a busy cardiovascular practice.

The ideal candidate is personable, detail-oriented, and experienced in healthcare registration, scheduling, insurance verification, and patient service.

Position Summary

The Front Desk Coordinator is responsible for managing patient registration, scheduling appointments, verifying insurance eligibility, collecting patient information, and providing outstanding customer service. This position serves as a liaison between patients, providers, and administrative teams to ensure efficient clinic operations and a positive patient experience.

Essential Duties & Responsibilities Patient Reception & Customer Service
  • Greet and check in patients in a professional and courteous manner.
  • Create a positive first impression for patients, visitors, and vendors.
  • Answer incoming telephone calls and route inquiries appropriately.
  • Respond to patient questions regarding appointments, forms, and office procedures.
  • Maintain patient confidentiality in accordance with HIPAA guidelines.
Patient Registration
  • Obtain and verify demographic, insurance, and financial information.
  • Update patient records accurately within the electronic medical record (EMR).
  • Scan and upload required documentation into the patient chart.
  • Obtain copies of identification and insurance cards.
Scheduling & Appointment Management
  • Schedule, reschedule, and confirm patient appointments.
  • Coordinate testing, referrals, and follow-up appointments.
  • Manage provider schedules while maximizing appointment utilization.
  • Contact patients regarding appointment reminders and scheduling changes.
Insurance Verification & Financial Responsibilities
  • Verify insurance eligibility and benefits prior to appointments.
  • Obtain required referrals and authorizations when applicable.
  • Collect copayments, deductibles, balances, and other patient financial responsibilities.
  • Explain payment policies and financial expectations to patients.
Administrative Support
  • Process incoming and outgoing correspondence.
  • Manage incoming faxes, forms, and documentation.
  • Maintain organized patient records and office files.
  • Support clinic workflow and assist other departments as needed.

Experience:
  • Medical office: 2 years (Required)

Required Qualifications:

Education
  • High School Diploma or GED required.
  • Associate degree preferred.
Experience
  • Minimum one (1) year of customer service experience required.
  • Minimum one (1) year of medical office, physician practice, or healthcare registration experience preferred.
Preferred Experience:
  • Cardiology or specialty practice experience.
  • Medical scheduling experience.
  • Insurance verification and authorization experience.
  • Athena One EMR experience.
  • Bilingual English/Spanish.
Knowledge, Skills & Abilities
  • Excellent customer service and interpersonal skills.
  • Strong verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational and time-management skills.
  • Attention to detail and accuracy.
