Job Description

The Meeting Concierge is part of the Conference Services team, representing the ultimate in appearance, poise, and attentiveness. (Please refer to appearance standards)

The Meeting Concierge provides daily support to all in‑house group guests, express/g catering groups, and meeting planners. The Concierge responds to customer inquiries and requests, providing information such as meeting reader board details, convention activities, and event locations. They serve as a resource for all planners and guests, employing hotel communication tools including Nextel, phone, and email. Updated information—including daily event sheets, resumes, reader board data, and telephone lists—will also be used.

Due to the complexity of the hotel layout, the Concierge plays a pivotal role in directing guests to their designated meetings and providing accurate directional assistance, often in person. A sense of urgency and a “do it right now” attitude are critical to the position.

Responsibilities
  • Remain alert and attentive at all times to guests’ needs, reflecting the hotel’s image.
  • Present a friendly attitude, excellent listening skills, and pleasant body posture at all times, while being knowledgeable and helpful.
  • Maintain professional, uniformed attire, including jewelry and dress shoes; prohibit tennis shoes, open‑toed shoes, clogs, or mules.
  • Be present on the convention floor beginning at 6:00 a.m., with times adjustable to group requirements.
  • Address guest challenges and complaints calmly, listening carefully and demonstrating strong problem‑solving abilities.
  • Daily responsibilities include obtaining, understanding, and using the following information:
    • Reader board information
    • Daily event sheet
    • Group resumes
    • BEO’s and diagrams
    • Arrival/departure manifests
    • Special arrangements (VIP arrivals, limo services, guest speakers, etc.)
  • Maintain confidentiality of group information (BEO’s, pricing, room rates, guest numbers). Do not disclose BEO or resume information without manager contact. Do not give out guest room numbers, rates, or banquet food and beverage prices.
  • Respond to guest and planner needs promptly.
  • Follow up with guests after resolving their issues and ensure satisfaction.
  • Communicate necessary information to hotel departments via Nextel, email, and/or telephone quickly and accurately.
  • Provide the hotel (Recap) with a daily report on any guest service issues.
  • Offer information on guest services, meeting room benefits, and features such as wireless internet, complimentary cyber café, and business center.
  • Know the hotel’s location relative to attractions (Disney, Universal, Sea World, restaurants, etc.) and have pre‑printed directions to common destinations.
  • Encourage and promote reservations and visits to hotel outlets, recommend popular menu items, and engage in suggestive selling. Emphasize Morsels as a quick stop.
  • Provide information on resort health club, spa, recreation, and golf facilities, including the David Lead better Academy.
  • Be familiar with hotel fire safety procedures and routes.
Qualifications
  • Excellent customer service skills.
  • Ability to multi‑task in a fast‑paced environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Preferred experience in a four‑diamond or luxury hotel/resort environment.
  • Preferred Convention Service experience.
  • Ability to stand or walk for long periods.
