Role Description

The Meeting & Exhibits Manager is responsible for overseeing exhibit and expo programs while contributing strategically to full meeting management across corporate, incentive, and association events. This role owns the planning and execution of expos for a few key clients —including decorator and vendor sourcing and management, expo floor design in conjunction with our general services contractor, exhibitor fulfillment, branding and signage, and shipping and material handling logistics—and serves as a primary point of contact for GET’s vendors, venues, and clients.

In addition to leading exhibit operations, this position plays an active role in broader meeting management, supporting program and event logistics, housing and registration coordination, budget oversight, and on‑site execution. The ideal candidate brings strong operational judgment, vendor management, and a collaborative mindset, with the ability to manage complex programs and partner with team members while delivering high‑quality, end‑to‑end event experiences.

GREAT! BUT WHAT DOES THE JOB REALLY ENTAIL? The Bulk of the Job — Meeting Operations:
  • Project Management!Overseeing the project timeline and managing day‑to‑day tasks, milestones, and client expectations.
  • Communication!Ability to communicate effectively and manage multiple vendors onsite at once during program execution
  • More communication!Ensure accurate and efficient professional communication between the client, hotel, vendors, attendees, and GET employees
  • We are all about communication!Prepare correspondence and in‑house communications in accordance with GET's written communications standards, and proofread the communications of other department members, where required
  • Serve as an operational lead for meetings and events, with a primary concentration in
    exhibit and expo management
  • Plan, manage, and execute exhibit halls and expos, including sourcing and contracting the official decorator/general services contractor (GSC)
  • Lead exhibitor and sponsor fulfillment, including booth packages, sponsorship deliverables, utilities, labor, and timelines
  • Oversee expo floor design, booth assignments, traffic flow, safety requirements, and on‑site execution
  • Manage exhibitor branding, signage, way finding, and show graphics across the expo floor and common areas
  • Coordinate exhibitor shipping and material handling logistics, including advance warehouse and direct‑to‑show shipments
  • Direct exhibitor move‑in and move‑out, resolving issues in real time and ensuring adherence to schedules and venue regulations
  • Support full meeting management
    across assigned programs, including logistics planning, vendor coordination, and on‑site execution
  • Serve as a primary operational contact for program venues and vendors, maintaining strong working relationships
  • Support budget development, cost tracking, and reconciliation for meetings and expos; review vendor invoices and finalize billing in partnership with accounting
  • Collaborate with registration and housing teams to support attendees, exhibitors, speakers, and VIP needs
  • Oversee production, inventory, packing, shipping, and on‑site distribution of meeting materials and supplies for assigned programs.
  • Develop and maintain detailed timelines, operational plans, and internal documentation for assigned programs
  • Ensure quality control across all logistical elements, identifying risks and implementing solutions proactively
