Position Title: US Fleet Operations Manager

POSITION SUMMARY

The US Fleet Operations Manager is responsible for overseeing the safe, compliant, cost‑effective, and efficient operation of the company’s fleet. This role provides strategic leadership for fleet planning, vehicle maintenance, vendor management, regulatory compliance, insurance coordination, vehicle registration, and lifecycle management. This position also ensures that all company vehicles are properly maintained, inspected, roadworthy, and operated in accordance with applicable federal, state, and company requirements.

This position partners closely with Operations and field leadership to manage fleet‑related costs, reduce operational risk, support business continuity, and ensure vehicles are available and properly equipped to meet the needs of the business. The US Fleet Operations Manager also monitors fleet performance, analyzes trends, recommends process improvements, and maintains accurate fleet records to support compliance, accountability, and long‑term asset protection.

ESSENTIAL FUNCTIONS

  • Provide strategic oversight of the company’s fleet operations, including fleet planning, utilization, lifecycle management, replacement schedules, and long‑term cost control initiatives.
  • Develop, implement, and maintain fleet policies, procedures, and controls to ensure vehicles are operated safely, efficiently, and in compliance with company standards and applicable federal, state, and local requirements.
  • Oversee preventive maintenance programs to ensure company vehicles are safe, inspected, roadworthy, and properly maintained in accordance with regulatory requirements and operational needs.
  • Monitor fleet performance metrics, including vehicle downtime, repair costs, fuel usage, mileage, accident trends, utilization, and total cost of ownership; provide regular reporting and recommendations to leadership.
  • Manage relationships with external vendors, including leasing companies, repair facilities, insurance providers, fuel card vendors, GPS/telematics providers, and vehicle suppliers to ensure service quality, cost effectiveness, and contract compliance.
  • Review and negotiate fleet‑related agreements, including vehicle leases, maintenance agreements, insurance requirements, payment terms, liability provisions, and service‑level expectations.
  • Ensure appropriate commercial auto insurance, liability coverage, physical damage coverage, and other required insurance policies are maintained for company‑owned, leased, or otherwise assigned vehicles.
  • Maintain compliance with applicable transportation and fleet regulations, including Federal Motor Carrier Safety Administration requirements when vehicles or operations fall under interstate commerce or other regulated activity.
  • Oversee vehicle registration, titles, permits, apportioned plates, inspections, renewals, and related documentation to ensure fleet assets remain legally authorized for operation.
  • Partner with leadership and Operations to ensure fleet‑related expenses, tax obligations, asset records, driver eligibility, and compliance requirements are properly managed.
  • Support accident and incident response processes, including documentation, insurance reporting, root‑cause review, corrective action, and coordination with HR and/or Compliance when employee accountability may be required.
  • Establish and monitor driver compliance standards, including license requirements, motor vehicle record review, safe driving expectations, vehicle assignment rules, fuel card usage, telematics requirements, and timely reporting of accidents, violations, or vehicle damage.
  • Evaluate opportunities to reduce fleet costs through improved routing, vehicle utilization, fuel management, maintenance controls, vendor consolidation, leasing strategies, and replacement planning.
