Patient Transport Coordinator

The Patient Transportation Coordinator is responsible for coordinating the day-to-day transportation operations for Valora Medical Group, ensuring patients are transported safely, efficiently, and on time between their homes and clinic locations. This position serves as the primary liaison between patients, transportation drivers, caregivers, and clinic staff while coordinating transportation schedules, routing, reporting, and operational logistics.

The Coordinator plays a key role in optimizing transportation efficiency, monitoring service quality, preparing operational reports, and supporting the overall patient experience through effective scheduling, communication, and data analysis.

• Coordinate and schedule patient transportation requests for multiple clinic locations.
• Develop efficient daily transportation routes that maximize driver productivity while ensuring timely patient arrivals.
• Monitor transportation schedules throughout the day and adjust routes to accommodate cancellations, delays, weather conditions, emergency requests, and operational changes.
• Serve as the primary point of contact for transportation scheduling between patients, caregivers, clinic staff, and transportation drivers.
• Resolve scheduling conflicts and transportation issues while minimizing disruptions to patient care.
• Ensure transportation requests are completed in accordance with company policies, departmental procedures, and service standards

• Coordinate daily transportation coverage and driver assignments.
• Monitor route efficiency, transportation utilization, and operational performance.
• Coordinate company vehicle utilization and communicate routine maintenance and repair needs to the appropriate department.
• Maintain transportation records, driver documentation, vehicle logs, and required compliance records.
• Monitor driver licensing and required certifications.
• Support transportation budget tracking and operational expense monitoring as requested.
• Participate in transportation planning and operational meetings.

• Prepare daily, weekly, and monthly transportation reports for leadership.
• Utilize Microsoft Excel to analyze transportation data, identify trends, and monitor key performance indicators.
• Track operational metrics including transportation volume, on-time performance, route efficiency, cancellations, and patient satisfaction.
• Recommend process improvements that enhance transportation efficiency and operational effectiveness.
• Maintain accurate scheduling records and operational documentation.
• Deliver exceptional customer service while communicating professionally and compassionately with patients, caregivers, providers, and clinic staff.
• Identify patients requiring special accommodations due to mobility limitations or medical conditions and communicate those needs appropriately.
• Monitor patient satisfaction and recommend improvements to enhance the transportation experience.
• Build collaborative relationships with clinic leadership to ensure transportation services support patient care and clinic operations.

• Maintain strict confidentiality of all patient, employee, and company information in accordance with HIPAA and company policies.
• Ensure transportation services are delivered safely and in compliance with all applicable federal, state, and local regulations.
• Follow all Valora Medical Group policies, procedures, and safety protocols.
• Immediately report accidents, incidents, safety concerns, or transportation issues.
• Maintain a clean, organized, and safe work environment.
• Participate in required compliance training, continuing education, and departmental meetings.
