We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Whitby, Ontario. In this role, you will provide essential administrative support while managing various tasks that require discretion and organizational skills. This position offers an opportunity to contribute to a non-profit organization by ensuring smooth day-to-day operations and effective communication.
Responsibilities:
• Deliver comprehensive administrative support, including handling confidential information and correspondence.
• Draft, edit, and manage reports, agendas, meeting minutes, and general communications using Microsoft Office tools and other software.
• Maintain the organization's calendar, coordinate meetings, and arrange travel schedules.
• Organize and oversee confidential file systems, service agreements, licensing, and vendor contracts.
• Collaborate with the Chief Information Officer to prepare and monitor budgets.
• Administer various corporate accounts, including software licensing for Microsoft, Adobe, and Cisco Web Ex.
• Plan and execute special events, conferences, and functions.
• Process invoices, payment requests, and expense claims while ensuring accurate records for accounts payable.
• Create purchase requisitions and capital requisitions for IT equipment using Oracle software.
• Manage office supplies, HR-related forms, and courier documentation for the division.
