Overview
We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will have strong computer skills, excellent communication abilities, and experience with office management tasks. This role involves providing exceptional customer service, managing clerical duties, and ensuring the smooth operation of the office environment. Prior experience with medical or dental offices, Quick Books, and Google Workspace is a plus.
The Office Assistant will play a vital role in maintaining efficient office workflows and supporting daily operations.
- Manage front desk duties, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office and Quick Books
- Handle filing, document proofreading, and organization of office supplies and records
- Provide customer support via phone, email, or in person, ensuring excellent customer service standards
- Assist with appointment scheduling and coordinate meetings or events as needed
- Support bookkeeping tasks such as invoicing and billing in Quick Books or relevant software
- Maintain cleanliness and organization of the office environment
- Assist in crew coordination and project scheduling
- Proven clerical or administrative experience, preferably in a trades/contractor setting
- Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong computer skills with experience in data entry, filing, proofreading, and document management
- Knowledge of Quick Books and basic bookkeeping is preferred
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Experience with front desk operations and multi-line phone systems is highly desirable
- Ability to work independently with minimal supervision while maintaining attention to detail
Job Type: Full-time
Pay: $18.00-$20.00 per hour
