Our office is looking for a part time Office Assistant to help serve our clients. This role serves as
the initial point of contact for clients, vendors, and visitors, and supports day-to-day project
management administrative tasks in addition to reception duties. The Office Assistant role is
essential in creating a welcoming and professional environment while also supporting some
daily operations of the financial assistant. Construction experience is preferred but not
required
This is an on-site position (Monday-Friday; business hours 8-5; 18-27 hours per week; days/time/# of hours flexible). In the spirit of pay transparency, we are excited to share the pay range for this position which is $18.00/hr to $22.00/hr exclusive of bonuses and benefits. Primary Job Functions Office Assistant- Greet clients and visitors warmly and professionally, ensuring a positive first impression
- Answer and direct incoming phone calls promptly and courteously
- Support project managers and the financial staff with administrative tasks such as data entry, phone calls, web searching, and filing
- Assist in maintaining and ordering office supplies
- Assist with processing incoming mail, emails, and shipments
- Collect payroll hours, enter payroll hours, and process in order to cut weekly checks, and
- Support the financial assistant with data entries for monthly invoices and billings.
- Under the direction of our project managers, assist with various project related tasks as requested
- Help solicit bidders for proposal requests, including phone calls, emailing bid invitations, etc.
- Assist the project manager with typing proposals, schedules, purchase orders, etc.
- Help with acquiring material estimates, purchases, and deliveries
- Assist in collecting project closeout materials such as warranties, as-builts and prepare final close-out manuals.
- Coordinate the paper and electronic filing process for projects
- Support the staff in project archives, record keeping
- Previous receptionist/office experience preferred
- Friendly, outgoing, and positive attitude
- Professional appearance, voice, and interaction with clients
- Ability to multitask and prioritize tasks effectively
- Well-developed written and verbal communication skills with the ability to successfully
- interact with people at all levels of the organization
- Proficient with Microsoft Office Suite, Bluebeam/Adobe Acrobat or related software
- Familiarity with Sage 300 CRE construction accounting software a plus
- Familiarity with the construction process is a plus
