Job Overview
The Administrative Assistant II - Dental School provides overall clerical and office support to the leadership and faculty in the Department of Surgical and Diagnostic Dental Sciences and the Department of Developmental Sciences, including assisting with academic course management, scheduling, and a range of other administrative tasks.
Key Responsibilities- Assist with academic course management for multiple departments, including proctoring and electronic grading of texts and exams, recording grades in D2L and Check Marq, and performing other course-related coordination tasks.
- Provide direct support for the Chair of the Department of Surgical and Diagnostic Dental Sciences and the Chair of the Department of Developmental Sciences.
- Monitor and record student progress toward meeting program requirements.
- Schedule and proctor course exams for departmental faculty.
- Manage Department Chair and departmental faculty schedules.
- Schedule and coordinate departmental meetings; attend meetings to record and subsequently distribute meeting minutes.
- Update and maintain department directories and contacts, faculty manuals, clinic manuals, and clinical treatment guides.
- Process PCard expense reports and faculty expense reimbursement reports in iExpense.
Skills and Abilities
- High school diploma or GED
- Minimum of two years of experience in an office support role
- Excellent organizational and customer service skills
- Excellent written and verbal communication skills
- Discretion, flexibility, and courteous demeanor
- Ability to maintain confidentiality
- Ability to work and communicate with people from a diverse population
- Ability to work independently with little supervision and frequent interruptions in a dynamic, fast-paced environment
- Ability to multitask and prioritize daily workload
- Computer competency with Microsoft Office Suite (Word, Excel, PowerPoint)
