Job DutiesThe New Student Application and Records Coordinator position collaborates with the admissions application processing team in the preparation of nearly 18,000 application records annually in an office environment that emphasizes timely customer service. There is frequent collaboration and contact with University staff, academic staff, faculty, and administrators. Currently, this position reports to the Assistant Director of Admissions. This is a full-time (40 hours per week), in-person position that is Monday through Friday.
MajorResponsibilities Include
- Create new student records for all undergraduate application populations (freshman, transfer, re-entry, and international students).
- Evaluate and interpret People Soft query results.
- Evaluate, develop, and implement record-building processes as required for efficiency, effectiveness, student-information system technology, and policy changes.
- When necessary, assist in the processing of daily USPS-delivered application materials, including opening, sorting, and labeling documents.
- Perform and maintain digital file maintenance.
- Provide back-up for reception area and perform other duties as assigned.
- Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
- Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
- Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
- Prepares and audits complex records, edits documents, and reviews work done by others

CompensationStarting at $18.50 commensurate with experience
Required Qualifications- H.S. Diploma
- Proficiency in utilizing technology, including People Soft, Image Now, CRM systems, Microsoft Office, and email, to effectively perform job duties.
- Able to maintain the confidentiality of all student inquiries, correspondence and records
- Commitment to fostering an inclusive and welcoming environment.
- Demonstrated ability to plan, organize, and manage work efficiently while maintaining a high level of accuracy and attention to detail.
- Ability to assess situations critically, solve problems efficiently, and adapt quickly to changing processes and applications.
- Experience utilizing People Soft and Image Now functionality necessary to process applicant records
- Demonstrated ability to interpret high school and post-secondary transcripts
- Ability to calculate grade point average
