Overview

Position:
Temporary full-time Administrative Assistant (until Dec 31, 2026 and until Nov 30, 2026).

City Clerk’s Office, Elections Branch. Affiliation: CUPE 503 Inside/Outside. Salary: $56,634.76 – $66,266.20 per year (2024 rate).

Responsibilities
  • Provide administrative and clerical support to program staff, including document processing, data entry, and filing.
  • Compile and provide information regarding program documents and reports.
  • Maintain program inventories and liaise with internal staff, external stakeholders, and the public.
  • Procure goods and services, organize meetings, and respond to inquiries and complaints.
Qualifications
  • Grade 12 and one year of post-secondary training in office administration, information technology, or a related field.
  • At least 2 years of related office/administrative experience.
Knowledge
  • General program operations and unit activities relevant to the department and city structure.
  • Knowledge of City policies and procedures, and office practices.
  • Records management system used by the City.
  • Software and applications used by the City (Windows, Word, Excel, Access).
  • Health and safety laws and workers’ rights and duties.
Skills and Abilities
  • Clear and concise communication with clients, the public, peers, and supervisors, both verbally and in writing.
  • Excellent interpersonal skills.
  • Ability to organize work, manage multiple tasks, and set priorities.
  • Ability to work autonomously with minimal supervision.
  • Ability to meet deadlines and record information accurately.
  • Tact and discretion; confidentiality of information.
  • Understanding of program objectives and target population needs; sensitivity to their concerns.
  • Initiative, reliability, and ethical conduct.
What You Need to Know
  • Language requirements:
    French (spoken and written) and English (spoken and written) at designated entry level.
  • Initial salary may be 95% of the full rate per collective agreement.
  • Relevant experience and recognized training may waive some educational requirements.
