Overview
Position:
Temporary full-time Administrative Assistant (until Dec 31, 2026 and until Nov 30, 2026).
Location:
Elect/MFIP
1221 "B" rue Cyrville, Ottawa, ON. Department:
City Clerk’s Office, Elections Branch. Affiliation: CUPE 503 Inside/Outside. Salary: $56,634.76 – $66,266.20 per year (2024 rate).

- Provide administrative and clerical support to program staff, including document processing, data entry, and filing.
- Compile and provide information regarding program documents and reports.
- Maintain program inventories and liaise with internal staff, external stakeholders, and the public.
- Procure goods and services, organize meetings, and respond to inquiries and complaints.
- Grade 12 and one year of post-secondary training in office administration, information technology, or a related field.
- At least 2 years of related office/administrative experience.
- General program operations and unit activities relevant to the department and city structure.
- Knowledge of City policies and procedures, and office practices.
- Records management system used by the City.
- Software and applications used by the City (Windows, Word, Excel, Access).
- Health and safety laws and workers’ rights and duties.
- Clear and concise communication with clients, the public, peers, and supervisors, both verbally and in writing.
- Excellent interpersonal skills.
- Ability to organize work, manage multiple tasks, and set priorities.
- Ability to work autonomously with minimal supervision.
- Ability to meet deadlines and record information accurately.
- Tact and discretion; confidentiality of information.
- Understanding of program objectives and target population needs; sensitivity to their concerns.
- Initiative, reliability, and ethical conduct.
- Language requirements:
French (spoken and written) and English (spoken and written) at designated entry level. - Initial salary may be 95% of the full rate per collective agreement.
- Relevant experience and recognized training may waive some educational requirements.
