Position: Bilingual Administrative Assistant and Receptionist - Contract - 18709
About the Opportunity

On behalf of our client, we are seeking a fluently bilingual Administrative Assistant and Receptionist to support a small, close-knit office. This is a 6-month contract position with the potential for extension or permanent placement. The successful candidate will enjoy free onsite parking and afternoons off on Fridays.

Duties include but are not limited to:
  • Provide administrative support and office management, including reception duties
  • Manage mail and courier distribution, including sorting, shipping, and supply maintenance
  • Order and maintain office supplies, ensuring availability and budget compliance
  • Maintain the office’s appearance and ensure supplies are organized and accessible
  • Handle reception duties: respond to calls, emails, and in-person inquiries promptly and professionally
  • Assist with meeting preparation, including invitations, documents, room setup, and clean-up
  • Manage calendars, schedule meetings, prepare agendas, take meeting minutes, and track deadlines
  • Provide occasional English-French translation and coordinate external translations
  • Support event logistics: research venues, manage guest lists, and coordinate invitations
  • Offer back-up administrative support to Executive Assistants and other staff as needed
  • About You

    The successful candidate will have the following:
  • Fluently Bilingual:
    Fluent in French and English (written and spoken)
  • 1-5 years of experience in administrative support and/or office management
  • Must possess or be eligible for Secret-level security clearance
  • Post-secondary degree in Business Administration or equivalent experience
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Simply Accounting experience is an asset
  • Organized, detail-oriented, and able to multitask while maintaining professionalism under pressure

    This is a full-time, onsite position with a pay range of $22.00 to $28.00 per hour, depending on experience.
