We are seeking a proactive, community advocate minded Property Administrator to provide essential operational support across our portfolio.
The Role:Reporting to the Regional Property Manager, you will be the central hub of our site offices. Your mission is to ensure that administration is flawless, our databases are accurate, and our residents receive the "Theberge standard" of service. Use and proficiency in Yardi Voyager considered an asset.
Hours:40 hours per week
Compensation:$52,000 per year plus 2 weeks vacation
Key Responsibilities:- Maintain and audit resident records within Yardi. Oversee the lifecycle of a lease, from preparing move-in packages to processing annual renewals and LTB notices.
- Manage access control systems (Mircom/Brivo), update intercom boards, and maintain meticulous digital and physical filing systems.
- Act as the professional first point of contact for resident & vendor relations. Handle inquiries, track service requests (work orders), and coordinate with the Capital Projects team to keep residents informed of building upgrades.
- Collect and process rental payments, review vendor invoices for Accounts Payable, and track purchase orders to ensure the building budget stays on track.
- Ensure all operations remain in strict compliance with the Residential Tenancies Act, Fire Codes, and the Certified Rental Building (CRB) program requirements.
- Maintain site inventory (supplies, PPE, and promotional materials) and ensure the site office remains organized and professional.
- Experience:
2–3+ years in property management, office administration, or a high-volume customer service role. - Technical Proficiency:
Strong skills in Microsoft Office and experience with property management software (specifically Yardi) is highly preferred. - Regulatory Knowledge: A solid grasp of Ontario’s landlord and tenant legislation and LTB processes.
- Communication:
Exceptional written and verbal communication skills in English;
French proficiency is considered a strong asset. - Disposition: A positive, "can‑do" attitude with the ability to remain calm and tactful during difficult or emotionally charged resident interactions.
- Logistics: A valid driver’s license and access to a vehicle is required, as you may support multiple sites.
