Theopportunity
Crop Life Canada is seeking a highly organized and adaptable Administrative Assistant to support the smooth functioning of our Ottawa office and contribute to the success of our team. Reporting to the Executive Assistant, this role provides essential administrative, coordination, and office support services across the organization. The position is based in‑office at 350 Sparks Street, Ottawa, with consideration given to a hybrid work arrangement (1–2 days per week from home) following a probationary and training period, subject to operational needs.
Yourkey responsibilities
As the Administrative Assistant, you will be responsible for a wide range of administrative and shared services duties, including:
- Greeting and directing visitors and responding to phone calls, emails, and general inquiries with accuracy and confidentiality
- Scheduling and coordinating committee meetings, including planning, communication, and document distribution
- Supporting larger events with material preparation, shipping, and in‑person logistics
- Making travel arrangements (flights, accommodations, transportation) in accordance with organizational procedures
- Preparing and submitting expense reports and invoices in compliance with internal policies
- Maintaining office contact databases and liaising with platform developers as required
- Coordinating staff meetings, boardroom bookings, staff gatherings, and team‑building activities
- Managing incoming and outgoing mail and courier services
- Drafting, proofreading, and editing correspondence and other documents
- Organizing and maintaining electronic and paper filing systems
- Providing coverage for the Executive Assistant during vacation periods
- Supporting shared services activities such as IT troubleshooting, office supply ordering, equipment maintenance, and reporting building or parking issues
- Assisting with special projects as assigned by the Executive Assistant and the Manager of Finance and Shared Services
The ideal candidate brings strong administrative expertise and a professional, service‑oriented approach, along with:
- A Bachelor’s degree or diploma in Business Administration or a related field
- 1–3 years of administrative and event‑planning experience
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Proven ability to manage time effectively and meet deadlines
- Sound judgment, discretion, and resourcefulness
- Flexibility, adaptability, and problem‑solving skills while maintaining confidentiality
- Extensive knowledge of office administration and record‑keeping systems
- Proficiency in Microsoft 365, particularly SharePoint and Microsoft Teams, with the ability to learn new systems
- Bilingualism in English and French considered an asset
