Description:The Secretary provides comprehensive administrative and secretarial support to hospital programs and assigned committees, ensuring the smooth and efficient daily operation of all program activities. As the primary point of contact for the program, this role performs a wide range of office and reception duties, supports internal communications, and helps maintain an organized and service‑focused environment.

A key responsibility of this role is supporting training operations. This includes creating and maintaining up‑to‑date training calendars, managing classes in the Learning Management System (currently PALMS), and ensuring full compliance with training requirements. The Secretary contributes to excellence in training delivery by confirming trainers, manuals, materials, and room bookings well in advance. The role also supports training efficiency by optimizing class participation and ensuring sessions run smoothly and effectively.
Qualifications:
  • Completion of OSSD or equivalent
  • Office Administration or equivalent College certification and/or diploma OR relevant combination of education, training and experience (minimum experience two years full-time secretarial or clerical experience in a medical environment)
  • Excellent communication, organization, problem solving, and customer relation skills, with the ability to relate to persons with mental illness
  • Excellent time management skills with the ability to prioritize and meet firm deadlines
  • High level of initiative, judgment and adaptability
  • Commitment to continuous learning and quality improvement
  • Proficiency in latest versions of standard office software applications including Microsoft Word, Excel, Outlook, Teams, PowerPoint, Meditech or other patient registration/booking systems, Internet Explorer, Learning Management systems
  • Typing speed is 40 words per minute minimum
  • An understanding of basic financial and mathematical concepts
  • Ability to work independently and with multiple interruptions
  • Ability to function as a member of a team and work cooperatively with team members as per the Royals’ iCARE values.
  • Bilingual (French/English) is mandatory. English level A- is mandatory in oral comprehension, expression, reading, and writing. French level A- is mandatory in oral comprehension and expression.
  • Salary Range: 32.62 to 35.43 per hour
