Catena Carbon Industries Inc. is a Canadian climate technology engineering company focused on reducing global carbon emissions through proprietary carbon capture and utilization technologies. As a growing startup organization, the Office Manager plays a central role in supporting day-to-day operations by coordinating administrative, executive, HR, and financial support functions to ensure efficient business operations.

This role is best suited to a highly organized and adaptable professional who is comfortable working across multiple operational areas in a fast-paced startup environment.

Key Responsibilities
  • Provide administrative and operational support to the CEO and leadership team
  • Coordinate meetings, schedules, agendas, and internal communications across the organization
  • Prepare internal reports, summaries, and documentation for management, investors, and board-related materials
  • Maintain organized digital and physical filing systems, including confidential company records
  • Oversee general office operations including supplies, procurement, and vendor coordination
  • Support internal administrative systems, databases, and documentation tracking processes
  • Assist in maintaining records required for funding, grants, and regulatory reporting purposes
  • Maintain employee records and support onboarding and offboarding administrative processes
  • Assist with recruitment coordination including job postings, interview scheduling, and candidate communication
  • Support HR-related documentation including employment agreements, benefits administration records, and policy updates
  • Assist with coordination of employee programs including stock option plan administration
  • Support bookkeeping processes by maintaining accurate financial records and documentation
  • Assist with accounts payable, accounts receivable, and bank reconciliation processes
  • Support payroll preparation and coordination of government remittance filings
  • Assist in preparing monthly and quarterly internal financial summaries and reports
  • Maintain documentation related to project expenditures, including research and development-related costs
Qualifications
  • Minimum 3 years of progressive experience in office administration, bookkeeping, or related administrative roles
  • Bachelor’s degree in business, Finance, Accounting, or a related field
  • Proficiency in Quick Books Online and Microsoft 365
  • Familiarity with Canadian accounting and payroll compliance requirements
  • Strong organizational, analytical, and communication skills
  • Ability to work independently in a small-team, startup environment
  • High level of discretion and ability to manage confidential information
  • Human Resources education/experience in HR administration considered an asset
  • Experience supporting senior executives in an administrative capacity considered an asset
  • Experience in technology, R&D, or clean-tech environments considered an asset
  • Wage: $75,000 annually
  • Hours:

    37 hours per week, on-site
  • Benefits:
    Extended health and dental, life and disability insurance, flexible schedule, and 2 weeks paid vacation per year in accordance with the Ontario Employment Standards Act (ESA)
  • Overtime:
    Not typically required; any overtime will be compensated in accordance with Ontario employment standards
