- Coordinate course offerings, schedules, exam schedules, and course plans across all cycles of study.
- Collaborate with departments, schools, and Carleton University to schedule courses, compile and update course sequences for the Faculty of Engineering website, and correct information for joint programs.
- Enter data for courses in the uo Campus system and maintain data integrity.
- Coordinate exam scheduling, send final exam orders to external partners, prepare exam packet materials, validate exam information, and distribute examinations. Organize exam room assignments online and coordinate annual allocation of student seating in gymnasiums and skating rinks.
- Ensure compliance of course plans with new ministerial directives, retain plan copies, monitor submission, and provide administrative reports.
- Assess faculty and staff needs, translate requests into actionable plans, and recommend initiatives to supervisors.
- Review and refine operational procedures per timelines established by the Registrar and other stakeholders.
- Maintain an electronic filing system, ensuring confidentiality and availability of documents, and coordinate archiving procedures.
- Supervise and train student work‑study staff, exam proctors, and other support personnel to ensure services meet policies and guidelines.
- Participate in committees and meetings on operational processes, relay information within the team, and communicate with internal and external stakeholders to determine course and schedule needs.
- Bachelor’s degree in administration or a related discipline.
- At least two years of experience coordinating operational processes, preferably in a university environment.
- In-depth knowledge of secondary, collegiate, undergraduate, and graduate programs.
- Experience collecting, analyzing data, drafting administrative reports, and producing statistics.
- Ability to work within tight deadlines in a high‑pace environment.
- Decision‑making capability impacting student and faculty outcomes (e.g., course cancellation follow‑ups).
- Familiarity with university administrative structures and processes is an advantage.
- Excellent communication skills for understanding staff information requests.
- Strong organizational and analytical skills, discretion, judgment, and attention to detail.
- Bilingual – French and English, oral and written.
