Our client in the non-profit sector is seeking a detail-oriented and service-driven Executive Assistant to support a senior executive within a fast-paced and collaborative environment. Working closely with senior leadership and cross-functional teams, you will play a key role in ensuring operational efficiency, managing executive coordination, and supporting strategic initiatives. Your Responsibilities
  • You’ll manage complex executive calendars, balancing shifting priorities, urgent requests, and scheduling requirements
  • You’ll coordinate meetings, prepare agendas and materials, and provide logistical support for virtual and in‑person meetings
  • You’ll organize domestic and international travel arrangements, including itineraries, accommodations, and related logistics
  • You’ll prepare, edit, proofread, and format executive-level documents, reports, presentations, and correspondence
  • You’ll maintain organized records, files, and shared work spaces while ensuring confidentiality and discretion
  • You’ll process expenses, reimbursements, and administrative transactions accurately and within required timelines
  • You’ll support project tracking, follow‑ups, and coordination activities to help ensure deliverables are completed efficiently
  • You’ll provide administrative and coordination support to committees and internal initiatives as needed
Skills and Qualifications
  • 3+ years of experience in an Executive Assistant or senior administrative support role
  • Experience supporting senior leaders within a fast‑paced or complex environment
  • Strong organizational and time‑management skills with the ability to manage competing priorities
  • Exceptional written and verbal communication skills in both English and French
  • High level of professionalism, discretion, and attention to detail
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, Teams, and Zoom
  • Ability to work independently while collaborating effectively across teams
  • Experience with in the non‑profit or charitable sector is considered an asset
