Office Manager - Express Professionals East

Our client, a construction contractor located in the south end of Ottawa, is seeking an Office Manager to join their team. This in‑office role offers the opportunity to support a small, close‑knit organization with flexible working hours.
Duties may include, but are not limited to:- Communicate with customers and vendors by phone and email to address inquiries, provide updates, resolve issues, and maintain strong working relationships
- Manage full-cycle accounts payable and accounts receivable, including processing invoices, tracking payments, and reconciling outstanding balances
- Prepare, issue, and follow up on invoices to ensure timely and accurate billing
- Perform bank reconciliations, verifying transactions and ensuring financial records align with bank statements
- Enter and maintain employee timesheets in Excel with accuracy and attention to detail
- Contact clients to confirm crew arrival times, provide scheduling updates, and ensure smooth coordination of field operations
- Send estimate requests to sales representatives and track responses to support the quoting process
- Coordinate and submit utility locate requests to ensure safe and compliant job-site preparation
- Complete government payroll remittances, ensuring timely and accurate submission of required deductions and contributions
- Process credit card payments, verify transaction details, and maintain secure payment records
- Answer and direct incoming calls, providing professional customer service and routing inquiries to the appropriate team members
- Must have hands‑on experience with Quick Books Online (QBO) and strong proficiency in Microsoft Excel
- Requires 2+ years of related bookkeeping or accounting support experience
- Able to remain resilient, patient, and composed in a fast‑paced environment
- Strong interpersonal and communication skills, with the ability to build positive rapport
- Comfortable handling difficult or frustrated customers with professionalism and tact
- Possesses a thick skin and can manage feedback or challenging situations without becoming easily upset
- Strong multitasking abilities, able to prioritize and manage several responsibilities at once

Monday to Friday – 8-9:30am to 4:00-5:30pm
Wage: $28.00 to $32.00 per hour depending on experience
