Robinson Consultants is seeking a self‑motivated Administrative Assistant to join the collaborative and dynamic team in our Ottawa office. This position will provide administrative support to the President and other members of the Executive Team upon request to ensure efficient operation of the executive office to ensure efficient coordination, communication, and workflow across the organization. The ideal candidate will be proactive, highly organized, detail oriented, and capable of working in a fast‑paced environment with discretion and professionalism.

What you’ll be doing:

  • Providing general confidential administrative support to the President and other Executive Team members as requested.
  • Coordinate meetings, calendars, and appointments, including room bookings and virtual meeting setup.
  • Monitor and prioritize incoming and outgoing emails on behalf of the President.
  • Prepare and edit correspondence, communications, presentations, and other documents as requested.
  • Maintain relevant files and databases, electronic filing systems, and related internal databases.
  • Exercise professional and sound judgment in the execution of responsibilities.
  • Provide front line support for reception as required.
  • Provide support for internal events, meetings and team activities.
  • Support to the Board of Directors – scheduling meetings, preparing Board packages for Board of Director meetings as required.
  • Perform other administrative duties as assigned to support office operations.

You should have:

  • Diploma or certificate in Office Administration, Business Administration or related field.
  • 1-4 years of experience as an Administrative Assistant or similar support role.
  • Exceptional organizational and time management skills and the ability to balance diverse, changing, and conflicting priorities to meet goals and objectives.
  • Ability to work as part of a team as well as independently.
  • Computer literacy in a Microsoft Office Suite (Outlook, Word, Excel, Teams, One Note and PowerPoint).
  • High degree of professionalism and discretion in handling confidential information.
  • Superior client service, interpersonal skills, and emotional intelligence.
  • Proven research, analysis and problem‑solving skills.
  • Previous experience working with Boards of Directors or senior leadership teams, considered an asset.
  • Excellent oral and written communication skills in English (bilingualism in English and French would be considered a strong asset).
  • Must possess a valid driver’s license and have access to a vehicle with valid registration and insurance.
