The Role
We’relooking for a friendly, organized, and reliable Office & Culture Coordinator to keep our Ottawa, ON office running smoothly on a part-time,. This is a hands-on role focused on the everyday essentials thatmake an office a great place to be—keeping the space tidy and well-stocked,ordering groceries and refilling the kitchen, handling office upkeep, and helping build a warm, connected team culture—while serving as the on-site point person for people and facilities coordination in partnership with our Chicago office and IT team.

Whatdoes a day in the life of this role look like?- Keep the office tidy, stocked, and welcoming —maintaining clean, organized common areas and work spaces, ordering groceries,refilling the fridge and kitchen, and keeping everyday office supplies replenished so the space is always ready for the team.
- Handle office upkeep and facilities coordination — acting as the on-site liaison with the building manager and vendors on maintenance issues (for example, water,electricity, or repairs).
- Support general office administration — receiving deliveries and mail, and helping with the day-to-day organizational tasks thatkeep things running.
- Serve as the on-site point person for people logistics — coordinating onboarding and offboarding (laptop, desk, and key setup for newhires; collecting laptops, keys, and equipment when someone leaves) and liaising with our Chicago office and IT so local staff have the equipment,access, and support they need.
- Help keep the office compliant — supporting alignment with employment law, health and safety, and workplace standards, and escalating more complex matters as needed.
- Help build office culture — organizing small team gatherings, celebrations, and simple activities that make the officea fun, connected place to work.
The schedule for this role will be determined in collaboration with the chosen candidate. Some flexibility and other times may be needed depending on events, meetings, and visitors to the office. The chosen candidate will be required to work 20 hours a week.
Skills & Role Requirements
Required
- Some experience in office administration,coordination, or a similar hands-on support role.
- Strong organizational skills and attention todetail, with the ability to work independently and take initiative.
- Reliable, friendly, and service-oriented, with agenuine interest in creating a welcoming, positive environment.
- Comfortable coordinating with remote teams (suchas our Chicago office and IT) and external vendors or building management.
- Comfortable with everyday tools such as emailand Microsoft 365 (Outlook, Excel).
- Available for part-time, on-site hours at our Ottawa office.
Nice to Have
- Experience supporting onboarding/offboarding orIT and equipment coordination (laptop setup, keys, returns).
