The Inside Sales Specialist provides essential administrative and operational support to the service sales team. This role plays a critical part in managing reporting, coordinating customer communications, supporting bids and proposals, and assisting with sales processes that drive service contract growth.

What You’ll Do – The Role (Responsibilities)

1. Bid and Opportunity Management

  • Assist in preparation of large bid opportunities.
  • Monitor and proactively search public and private bid sites for new service opportunities.
  • Organize and maintain a central repository of proposal templates, standard documents, and references.
  • Prepare administrative bidding documents (insurance certificates, safety forms, compliance checklists, etc.).

2. Quotation and Proposal Development

  • Customize and format proposal documents based on customer documents.
  • Maintain up to date pricing templates and technical specifications as required.

3. Customer Coordination

  • Assist with onboarding of new customers by organizing contract documentation and required forms.
  • Work cross-departmentally with Service, Operations, and other departments to coordinate customer responses and inquiries.
  • Support customer communications by preparing and sharing follow-up correspondence and documentation.
  • Assist in gathering technical information or service records to support customer requests and sales initiatives.

4. Reporting and Data Management

  • Maintain and update sales dashboards, lead trackers, and contract databases with accuracy and timeliness.
  • Generate weekly, monthly, and quarterly reports for leadership on pipeline, proposals, and closed business.
  • Consolidate data from CRM, ERP Systems, and operations to create clear reporting packages.

5. Event Coordination

  • Manage event registration, booth materials, and administrative requirements.
  • Coordinate team participation in trade shows, conferences, and customer events.
  • Track key dates, deadlines, and deliverables for upcoming events.

6. General Administrative Support

  • Assist with implementing new sales tools, templates, and administrative tasks in CRM.
  • Manage shared inboxes or distribution lists to ensure timely responses to incoming requests.
  • Assist in preparing internal presentations and documentation for team or management meetings.

What You Need (Requirement)

  • 2+ years of administrative or sales support experience, preferably in a B2B services organization.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), CRM systems, and bid platforms (e.g., MERX, Biddingo, or similar).
  • Detail-oriented with excellent written and verbal communication
  • Ability to manage deadlines and work independently in a fast-paced environment.

Preferred Skills:

  • Experience working in industrial services or service-based proposals.
  • Knowledge of procurement and contract processes.
  • Familiarity with technical documentation and compliance requirements.
  • French is considered an asset.

Working Conditions
