PositionSummary
Thales has a vacancy for a Project Coordinator (Program) who supports the Project Manager (PM) and the PMO Manager by coordinating a wide range of day‑to‑day project activities, ensuring work is carried out effectively and that project actions impacting progress are tracked and followed through. Within the AJISS program, the Project Coordinator will perform assigned program coordination activities, support the PM in project activities to achieve successful completion, and coordinate internal and external teams while acting as a key liaison across stakeholders to ensure alignment with program objectives.
The role contributes to overall delivery across technical, industrial, financial, and customer satisfaction domains, supports fulfilment of milestones, deliverables, and reporting requirements, and assists in timely issue escalation as needed.
This position requires direct or indirect access to hardware, software or technical information controlled under the Canadian Export Control List and/or the US Export Administration Regulations (EAR). All applicants must be eligible or able to obtain authorization for such access. All applicants must also be able to obtain a Canadian NATO Secret clearance and meet the eligibility requirements outlined in the Canadian Controlled Goods Registration Program.
KeyAreas of Responsibility
- Provide project coordination support, including planning, execution, stakeholder communication, progress monitoring, issue resolution, and maintenance of project documentation to ensure successful delivery of project objectives.
- Work with cross‑functional teams (Finance, Contracts, Procurement, Quality) to support project requirements and ensure alignment across stakeholders.
- Support project activities including risk management and change management. Coordinate the Change Control Board and monitor change requests for work packages and maintain a log. Maintain and update applicable registers.
- Track action items through to closure and support project closure activities. Capture and support lessons learned. Monitor and support project milestone status. Schedule and attend internal and external meetings.
- Be point of contact for DWAN and DRMIS related questions and accounts. Prepare meeting agendas, record minutes and action tracking. Develop and maintain positive working relationships with internal and external stakeholders, including subcontractors and customers.
- Track deliverables to ensure timely delivery (as applicable). Use internal and external tools to manage activities and workflow issues (reports, deliverables, etc.). Assist with onboarding new team members to the project including coordination of onboarding training sessions for new hires.
- Initiate and support continuous improvement initiatives. Provide ongoing support to work package managers. Coordinate and support monthly project review dashboards. Monitor the status of customer responses for contractual letters, quotes, and proposals (as required).
Bachelor’s degree or college diploma in Business Administration, Project Management, Procurement, or a related technical field.
- Minimum of five years of demonstrated experience in the last ten years in a similar role.
