MAKING AN IMPACT
The HR Coordinator provides essential support across the full employee lifecycle, including onboarding, employment changes, offboarding, and leave administration. They maintain accurate HRIS and employee records, manage benefits and pension inquiries, and deliver timely, employee‑centered service to staff and people leaders. The role also supports organizational communications, attendance reporting, and various HR projects.
WHAT YOU’LL BE DOING:
Provide HR administrative support for all stages of the employee cycleSupport new hire, status change and offboarding processes, taking an employee centered approach
Onboarding:
Send onboarding package to new hire, including all required forms, policies and mandatory trainingEnsure onboarding is completed within a timely manner and follow up protocols are completed to ensure all documentation is receivedProvide support to people leaders throughout the onboarding process, including provision of checklistsComplete ADP set up process and partner with payroll to ensure accurate payroll setup within payroll scheduleStatus changes
Draft status change lettersProvide guidance to the HRBPs in sharing how changes may impact elements of the employee’s total rewards package, including calculations of time off balances, benefit contributions, and pensionEnsure all changes are accurately reflected in ADPSubmit information technology (Fresh Service) tickets as required to ensure user accounts are accurately reflected throughout enterprise toolsOffboarding:
Ensure changes are accurately made within ADPEnsure benefit and pension systems are updated accordinglySupport employees throughout the offboarding process, including answering questions related to elements of their total rewards package such as benefit, pension and time off balancesSupport people leaders throughout the offboarding process, including provision of checklistsLetter generation:
Draft verification letters, milestone letters, year-end merit letters and ad hoc letters throughout the year as neededHRIS support:
In collaboration with Senior Compensation Analyst, complete ad hoc and annual audits of HRIS data (in ADP) to ensure data integrity is maintained and make recommendations for corrective action as appropriateProvide feedback on processes impacting data to ensure most up to date is reflected in HRIS (currently ADP)Records management:
Maintain electronic filing system and complete annual file auditEnsure data and records management processes are kept updated, implemented consistently and are compliant with CCS policies and applicable legislationInformation management and employee experience supportMaintain organizational charts monthly, ensuring all updates are accurately reflected in both French and English and follow our standard conventionsKeep all documentation organized and properly filedusing standard conventions on Share Point Collaborate with HR leadership to keep MyCCS current, ensuring employees have a seamless experience accessing information about total rewards, policies and procedures bilinguallyMonitor multiple communication channels (such as email, teams message, Team People mailbox) and respond to HRBP, leadership, and staff inquiries to ensure it is done in a way consistent with CCS valuesSupport the quarterly production of attendance reports, and sharing the results with…
