Key Accountabilities Include:- Serve as the first point of contact for the Human Resources department.
- Provide administrative support to the Senior Manager of Human Resources, including scheduling appointments, managing calendars, and preparing correspondence, memos and letters.
- liaise with other departments within the Catholic Education Centre and schools within the Ottawa Catholic School Board.
- Provide support for Human Resources projects and initiatives.
- Organize, compile and manage highly confidential information and records relating to various functions within Human Resources.
- Review and track Human Resource absence coding using ATE.
- Prepare data for various reports and summaries.
- Administer the University of Ottawa Secondments program.
- Assist with the job evaluation program, preparing confidential documents and memos, arranging meetings and subsequent correspondence.
- Assist with compliance of school supervision schedules.
- Attend meetings at the request of HR management, prepare agendas and take meeting minutes.
- Help to maintain partnerships with internal and external stakeholders.
- Administrator of the Edvantage program.
- Assist in organizing department initiatives and meetings.
- Assist to track and maintain departmental budget and spending, and prepare budget updates/reports and payment requisitions as required.
- Provide clerical support for Human Resources including generating reports, research and accounting/financial entries and reconciliations.
- Support the Human Resources department as needed at special events such as board retirement dinner, job fairs, community outreach events, etc.
- Assist in the approval of mileage claims in Sparkrock and complete payment requisitions as required.
- Contribute to a positive team environment.
- Perform other administrative duties as assigned.
- Completion of a post secondary diploma or degree in a related and/or relevant field.
- 5 years of administrative experience.
- Proficient with Google Suite (Gmail, Forms, Sheets, Drive, etc.).
- Demonstrated strong attention to detail.
- Excellent organizational and communication skills.
- Positive team player and ability to work independently as well.
- Strong analytical and time management skills.
- Ability to create and maintain strong working relationships with stakeholders.
- Individuals who possess an equivalent combination of education and experience may also be considered.
- Experience with HR processes and systems (ATE, K212, etc.).
- Previous school board experience.
- CHRP/CPHR designation.
This is a full-time, permanent position with an annual salary range of $71,312 - $80,595. The anticipated start date of the assignment is as soon as the recruitment process is complete. A comprehensive benefits and pension package are also available.
