Position Summary and Responsibilities:

This role is to identify, develop and implement processes to increase efficiencies within the CEO’s office including supporting and serving as the liaison to the Board of Directors, Executive Committee and Standing Committees of the Board.

The Manager is also responsible for the project management of various organizational wide, CEO-led projects.

Reporting to the CEO/President, the Manager also ensures that the overall coordination, implementation, execution of the CEO/President’s work and office is managed by providing senior level administrative, logistical and research support. This position acts as liaison between the President/CEO and the Senior Management Team and strives to ensure support that will result in goals and tasks being accomplished according to the President/CEO’s direction.

The Manager works cross-functionally with internal stakeholders and consults with other departments, as needed, when cross-departmental collaboration is needed to meet commitments and goals.

Finally, this position operates as the executive office liaison between United Way East Ontario and external stakeholders, community partners, other United Way organizations, and all levels of government. A key part of this role is to build and strengthen new and existing relationships for the CEO/President and key stakeholders.

This hybrid position is based in Ottawa and serves the regions of Prescott-Russell, Ottawa, Lanark and Renfrew counties. You are expected to work from the office two days per week.

Qualifications:

Education

  • A post-secondary degree/diploma within the Administration or Business Management spectrum, or equivalent combination of education andwork experience.
  • Demonstrated commitment to lifelong learning and professional development.

Experience

  • Minimum 3-5 years’ experience in an administrative, support or logistics role, preferably with experience at the Executive level with transcribing and minute taking.
  • Experience in project management
  • Experience managing through influence
  • Experience working in a fast paced, high stress environment
  • Experience collaborating with volunteers and supporting senior volunteers.

Knowledge, Skills, and Abilities

  • Strong planning, organizational, time management and executive support skills including ability to manage conflicting workloads, determine priorities and accept personal responsibility for the completion of tasks.
  • Excellent relationship building and management skills.
  • Superior tact and diplomacy. The ability to maintain the highest level of confidentiality, exercise discretion, demonstrate effective judgment and decision-making skills.
  • Advanced communication skills – verbal and written, including the ability to draft, proofread and edit.
  • Ability to organize and present information, views, and concepts in a concise and understandable format.
  • Demonstrated ability to think both strategically and tactically.
  • Stress and time management skills with the ability to work independently with little supervision.
  • Ability to solve problems and to respond effectively in demanding situations
  • Understanding of the non-profit sector, specifically community boards, management issues, program evaluation, and financial reporting.
  • Computer literacy in word processing, database, and presentation software, especially Microsoft Word, Excel, Outlook, and PowerPoint.
  • Strong written and oral fluency in English required, with French written and verbal skills considered a strong asset.
  • Strong and accurate minute taking and transcribing abilities related to Corporate Minute books (Board Meeting & Executive Committee Meeting Minutes – included as part of the annual corporate audit process)
  • Criminal and Credit Check required
