Position Summary The Project Manager oversees restoration projects from initial emergency response through project completion. This role ensures that jobs are executed efficiently, safely, and profitably while delivering exceptional customer service. The Project Manager coordinates field teams, subcontractors, vendors, and clients, ensuring all work meets industry standards, insurance requirements, and company quality expectations.
Key Responsibilities Project ManagementLead and manage restoration projects involving water, fire, mold, storm, and reconstruction services.Conduct job site inspections, scope projectsDevelop project timelines, schedules, and budgets; monitor performance to ensure deadlines and profitability targets are met.Coordinate and manage subcontractors, suppliers, and internal crews.Ensure all documentation, photos, moisture logs, and job notes are completed accurately and on time.Follow up on accounts receivable files to ensure timely payment.Client & Insurance CommunicationServe as the primary point of contact for property owners, insurance adjusters, and other stakeholders.Provide clear communication regarding project status, changes, and expectations.Manage change orders and obtain necessary approvals.Build strong relationships to encourage repeat business and referrals.Quality & ComplianceEnsure all work meets IICRC standards, local building codes, and safety regulations.Implement and uphold site safety practices; conduct safety meetings as needed.Perform final walk-throughs to ensure customer satisfaction and job completion.Team LeadershipDirect and support field technicians to ensure productivity and quality of work.Train team members on restoration processes, equipment use, and documentation standards.Foster a positive team environment and promote company values.Qualifications Required2–5+ years of experience in restoration, construction, or related project management.Strong knowledge of water mitigation, fire damage restoration, mold remediation, or reconstruction.Proficiency with project management and estimating tools (Xactimate, Job-Dox, Encircle, DASH, or similar).Valid driver’s license and clean driving record.Strong organizational, communication, and problem-solving skills.PreferredIICRC Certifications (WRT, ASD, FSRT, AMRT).Experience working with insurance carriers and adjusters.Background in customer service or emergency response environments.Bilingual abilities (a plus depending on region).Work Hours & Availability Standard office hours are
Monday to Friday, 8:00 AM – 4:30 PM. While the role is generally structured around a 40-hour workweek, hours may fluctuate depending on workload and business needs. The following applies: •
On-Call Rotation: As part of the operations team, the Project Manager participates in a
rotating on-call schedule to support after-hours emergency events. On-call responsibilities are shared among team members to ensure coverage without excessive burden on any individual. •
Catastrophe (CAT) Response:
In the event of a large-scale CAT deployment (e.g., regional flood, ice storm), Project Managers may be required to adjust their availability and working hours to support operations.
Travel may be required depending on the CAT location. All travel expenses related to CAT events will be
covered by Paul Davis Ottawa. •
Flexibility Required:
While efforts will be made to adhere to typical hours, all team members are expected to be responsive and adaptable, particularly in emergency scenarios or high-volume periods. Time saved from other functional areas is expected to be reallocated toward
meeting or exceeding estimate production targets.
