Job Summary

Responsible for academic data maintenance within the University's academic records system, supporting the degree completion process for all students across programs. This includes managing the entire lifecycle of academic records, from new student transcription of transfer credits to the issuance of diplomas, and applying university policies related to transfer credits, course completion, academic honors, probation, dismissal, and degree requirements.

Essential Functions of the Job
  • Assure a thorough understanding of compliance requirements and university academic credit/record requirements, independently applying knowledge in awarding credits to each student's transcript.
  • Configure curriculum/program requirements into the university enterprise software system, ensuring accuracy, detail, and required timelines.
  • Coordinate with stakeholders on procedural matters related to day‑to‑day degree audit encoding; monitor resources to guarantee on‑time delivery.
  • Provide prompt, reliable, and friendly service to students and advisors regarding graduation application, evaluation and certification processes, and degree audit system best practices.
  • Evaluate degree audits and other student records; communicate accurate information about students’ status related to degree attainment, including progress toward degree completion, academic honors, probation, dismissal, and certification of earned degrees.
  • Maintain departmental procedures that assure efficient, courteous service to students and guide campus processes and systems.
  • Conduct transcript evaluation, documentation and archiving, graduation auditing, submission of conferral lists, and academic web auditing.
  • Collaborate with the student service center and academic departments to serve student needs effectively as a team.
  • Provide functional support and troubleshooting via email, phone, and in‑person inquiries from Registrar’s Office staff and campus partners.
  • Assist Registrar with training the campus community on products; update and distribute training materials as needed and participate in meetings to communicate policy changes.

Qualifications
  • Bachelor’s Degree required.
  • 3 to 5 years of professional experience, including registrarial and student service experience.
  • Effective verbal and written communication skills.
  • Critical thinking and ability to provide sound solutions.
  • Ability to manage complex tasks and individuals.
  • Strong computer and software knowledge.
Working Conditions
  • Prolonged periods of sitting.
  • Ability to lift 5–15 pounds.
  • Office building requires daily use of stairs.
  • Position may require evening and weekend activities for events, meetings, and periodic long hours depending on business cycle and priorities.
Travel Requirements
  • No travel required.
  • Not responsible for driving students or university vehicles.
