The Administrative Assistant is responsible for performing advanced, diversified, and confidential administrative and executive support duties to the CRO, CSO and Sales-Area Directors. The Administrative Assistant will provide a high level of support with little supervision while maintaining a high level degree of professionalism and confidentiality. The Administrative Assistant is someone who naturally operates with a customer service mindset enabling them to partner with a broad range of personalities and adapt to unique traits and working styles.

Overview

What You’ll be Doing

– Prepare documents, reports, excel spreadsheets, correspondence, power point presentations, other presentations, as requested by CRO, CSO, and Sales - Area Directors

– Maintain confidential correspondence and general files.

– General Administrative work in typing, filing, scanning, answering general office phone calls, sorting and deliver mail, and office supply ordering.

– Professionally interact with staff (at all levels) while being resourceful, efficient, and flexible and sometimes under pressure.

– Heavy calendar management, organizing and scheduling meetings, meetings with potential Investors, clients, department Managers.

– Attend requested meetings requested by CRO, CSO, and Sales - Area Directors. During the meetings you will be there to provide an appropriate agenda as well as take thorough meeting notes – also document progress or issues of importance.

– Complete all company required training.

– Work on special projects and provide support to assigned departments, as necessary, and manage multiple projects/tasks simultaneously.

– Demonstrates effective interpersonal skills in handling and maintaining records of sensitive and confidential information and situations.

– Uses problem-solving techniques, tact and discretion to identify improvements in systems and processes and recommends best alternatives.

– Works independently with little guidance, anticipating next steps, taking initiative, exercising discretion and sound judgment.

– Acts as an information resource on organizational policies and procedures.

– Prioritizes and executes special projects as needed in a fast-paced environment

– Competent in written and oral communication. Professional & concise.

– Be efficient with errand runs or appointments.

– Be productive despite constant changes due to exponential growth.

– Professionally deliver critical information using superior written and verbal communication skills.

– Execute effective decision making and provide strong attention to detail.

– Prioritize and manage multiple projects simultaneously.

– Provide frequent status updates to CRO, CSO, and Sales - Area Directors on items and follow through on issues in a timely fashion.

– Take initiative on requests and inquiries of an administrative nature.

– Other duties as assigned by the CRO, CSO, and Sales - Area Directors.

– Will provide back-up for other executive team members – CEO, COO

– This position will require an onsite presence in our Overland Park, Kansas office 5 days a week (M/F), 8 hours/Day.

Requirements to be Successful in This Position:

  • Bachelor's degree or equivalent experience
  • 3+ Administrative Assistant, Office Manager or administrative support position.
  • Strong interpersonal, customer service and communication skills
  • Ability to multitask
  • Proficient in Microsoft Office suite

  • Regularly required to move throughout the day within an office environment, well as you must be able to sit at a desk and be able to utilize computers and calculators.
  • This job requires the ability to read and comprehend written and oral operational and safety instructions and related rules, policies, and memos, and to communicate clearly with your co-workers and supervisors.
  • It is important to have vision and hearing skills that help you communicate with good interpersonal skills.
  • Required to restock kitchen supplies, such as the ability to lift and/ or move 10+ pounds – snacks and drink packages.
