Purchasing Assistant

The Purchasing Assistant will serve as the primary point of contact for established vendors and act as a liaison between Retail General Managers and the Purchasing department. This role is responsible for aging inventory analysis, invoice review, product delivery data entry, and the creation and maintenance of product masters, while also coordinating and scheduling in-store vendor marketing events and ensuring adherence to approved marketing schedules.

The Purchasing Assistant will provide performance feedback to vendors, advise retail locations on effective marketing strategies for aging, new, or high-impact inventory, and monitor vendor productivity across stores to ensure marketing efforts are allocated strategically and effectively.

• Monitor Vendor success in individual stores to ensure appropriate product placement.
• Maintain contact with all established Vendors to build and preserve vendor-relations.
• Build a database of individual product details: including genetics, effects, and current product images.
• Manage the purchase order process from requisition to receipt, track order status, resolve discrepancies, and ensure on-time and accurate delivery of goods for internal stores and franchise partners.
• Ensure compliance with company policies, procedures, and regulatory requirements related to purchasing, inventory management, and vendor selection.
• Coordinate with other departments to promote success of Greenlight branded products, including product launches, pricing, and marketing strategies
• Assist with promotional calendars and discount creations
• Maintain thorough knowledge of how to operate multiple inventory management systems and build Product Masters and Invoices based on actual product delivered while tracking credits and discounts owed to and by the organization.
• Maintain thorough knowledge of how to operate and track products within METRC.
• Prevent compliance implications and protect the organization from legal ramifications by ensuring proper data entry.
• Act as a supervisory liaison between Purchasing team and Purchasing Manager
• Stay informed about industry trends, market conditions, and regulatory changes that may impact sourcing strategies or supplier relationships.
• All other duties as assigned

• At least 2 years of data entry experience required.
• At least 1 year of schedule coordination, networking, communication experience required.
• Bachelor's degree in accounting, Supply Chain Management, or Business Administration.

• Excellent verbal and written communication skills.
• Excellent time management and prioritization skills.
• Proficient in negotiation, assertiveness, and schedule coordination.
• Proficient in sales analysis
• Proficient in Microsoft Excel and other productivity tools for data analysis and reporting
• Analytical and problem-solving skills with a process-improvement mindset.
• Detail-oriented and organized, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
• Familiarity with cannabis regulations and compliance considerations related to purchasing and inventory management is a plus.

• This role primarily involves sedentary work in an office environment, with occasional requirements to attend meetings or collaborate with team members across departments or locations.
