IAC is seeking a detail-oriented and proactive Purchasing & Logistics Specialist to support our growing engineering, procurement, and construction (EPC) operations. This role is responsible for executing purchase orders, coordinating inbound and outbound shipments, tracking supplier commitments, and ensuring materials and transportation requirements are met to support project schedules and customer commitments.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast‑paced industrial environment. This position serves as a critical link between Purchasing, Engineering, Project Management, Construction, Vendors, and Logistics Providers to help ensure successful project execution.

Key Responsibilities Purchasing Administration
  • Create and process purchase orders based on project requirements, inventory needs, and supplier lead times.
  • Track open purchase orders and confirm supplier delivery schedules.
  • Maintain accurate purchasing records and documentation within the ERP system.
  • Coordinate with Engineering, Project Management, Construction, and Accounting teams to ensure timely ordering of materials and equipment.
  • Resolve receiving discrepancies and assist with invoice reconciliation when necessary.
  • Maintain item master and purchasing records within the ERP system.
  • Communicate with suppliers regarding order status, delivery schedules, and procurement requirements.
  • Assist in monitoring supplier performance and delivery commitments.
  • Support procurement planning activities to align purchasing efforts with project schedules and business needs.
  • Develop and maintain productive working relationships with suppliers and service providers.
  • Assist in evaluating supplier performance related to quality, delivery, responsiveness, and cost.
  • Coordinate vendor documentation, certifications, and project‑related requirements.
  • Support sourcing activities and supplier qualification efforts.
  • Assist in identifying opportunities for cost savings, process improvements, and supplier consolidation.
Logistics & Transportation
  • Coordinate inbound shipments from vendors and outbound shipments to customers and project sites.
  • Schedule freight pickups and deliveries with carriers and logistics providers.
  • Prepare and maintain shipping documentation, bills of lading, packing lists, and freight records.
  • Track shipments and proactively communicate delays, risks, and schedule impacts.
  • Compare freight options to optimize cost, transit time, and reliability.
  • Coordinate expedited, oversized, and project‑critical shipments when required.
  • Ensure compliance with company policies and applicable transportation regulations.
  • Assist in resolving freight claims, shipping discrepancies, and delivery issues.
Project Support
  • Monitor material status reports and delivery schedules.
  • Support project procurement and logistics planning activities.
  • Work closely with Project Managers to identify procurement and transportation risks.
  • Participate in project kickoff meetings and procurement review meetings as required.
  • Provide regular updates regarding supplier performance, material status, and shipment activity.
  • Assist in maintaining procurement tracking reports and project material logs.
  • Coordinate critical material deliveries to support construction and commissioning schedules.
  • Support project closeout activities related to purchasing, logistics, and vendor documentation.
  • Help identify schedule risks and proactively communicate concerns to project stakeholders.
  • Assist in developing and improving purchasing and logistics processes.
  • Support inventory accuracy and material tracking initiatives.
  • Participate in supply chain improvement projects.
  • Identify opportunities to improve efficiency, reduce costs, and enhance supplier performance.
  • Promote a culture of accountability, responsiveness, and customer service.
Qualifications Required
  • 2+ years of experience in purchasing, procurement, logistics, supply chain, or related field.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Excellent communication, negotiation, and follow‑up skills.
