JOB SUMMARY:

Reporting to the Director, Capital & Facilities Planning, the Project Coordinator, Capital & Facilities Planning will liaise with internal and external stakeholders to provide expert advice on building technology, design, (space) planning processes and procedures. This position will also liaison with external consultants on projects.

Job Duties and Responsibilities:

PROJECT COORDINATION:

* Ensure that the scope and implementation of projects (new construction, renovations and space planning) reflect the needs of Grand River Hospital while ensuring compliance with Building Codes, healthcare design standards and other relevant legislation.

* Represent Grand River Hospital during all phases of project implementation to ensure that the project remains on budget and on schedule, within given capabilities and authority.

* Work with the architects and engineers to review and approve the change control process and issue resolution process.

* Identify associated risks to the project; measure and analyze the impact of the risks and makes recommendations to mitigate the risks.

* Coordinate capital equipment purchases , deliveries and equipment install

* Work with the Facilities Management, IT departments and other programs as required to coordinate all communication on moves or projects having impact on end users such as noise, vibration etc...

SPACE PLANNING COORDINATION:

* Develop and maintain space planning documents including space request forms, new project templates, active project status reports, guiding principles for space allocation, space planning assumptions, space capacity plan

* Ensure space inventory database is kept up to date with departmental designation and occupancy

* Facilitate all aspects of space management and ensure space allocation aligns with corporate planning documents, master planning efforts, and evolving coping strategy

* Lead space planning meetings and document action items and decision points for all stakeholders

* Escalate space planning issues to Director, Planning and ensure timely resolution

* Work with internal and external stakeholders to facilitate approved space relocations

* Prepare confidential documents for senior team detailing outcomes and recommendations for space and master planning

* Coordinate communication between hospital, MOHLTC and LHIN to assist Director when necessary

PROJECT FINANCIAL MANAGEMENT:

* Work with the Manager, Facilities Planning, Design and Development to develop the project budget for small to medium projects

* Manage project budget including analysis of potential changes.

* Work collaboratively to find an agreeable solution.

* Track variances to budget and advise the Director, Capital & Facilities Planning

HEALTH AND SAFETY:

* Works in compliance with the Health & Safety Act and its regulations in performing duties in a safe manner and follows all health and safety policies, procedures and legislation including wearing the appropriate Personal Protective Equipment (PPE), as required; ensures contractors follow all health and safety policies, procedures and legislative requirements

QUALIFICATIONS:

* Diploma in project management, engineering or an equivalent combination of relevant education and experience.

* PMP certification or working toward the completion of the certification is required.

* Minimum of five years of project management experience with concurrently organizing, planning and coordinating operational initiatives with multiple project activities

* Experience in reading and understanding construction plans and specifications.

* Experience in developing project budgets and schedules.

* Demonstrated knowledge of building codes and other related codes, standards and legislation.

* Demonstrated excellence in interpersonal, written and verbal communication skills including, ability to demonstrate tact and diplomacy with diverse groups of stakeholders.

* Demonstrated effectiveness in identifying and analyzing situations and problems; finding viable solutions with consideration to total systems and strategies.

* Demonstrated effective utilization of resources consistent with departmental goals.

* Demonstrated effectiveness promoting compliance with professional and ethical practices, accreditation standards, and applicable legislation.

* Demonstrated understanding and commitment to health and safety policies, procedures and applicable legislation.

* Demonstrated client-centred attitude and commitment to the Mission, Vision, Values and strategic direction of Grand River Hospital.

* Demonstrated professional work attitudes and behaviours in interaction with internal and external contacts.

* Demonstrated effectiveness as a team member through collaboration, respect and effective communication.

* Intermediate level proficiency using Microsoft Office Suite of products (including Outlook, Word, PowerPoint and Excel)
