Senior Payroll Associate

Overview

We are seeking a detail-oriented Senior Payroll Associate to support weekly payroll operations, union payroll administration, benefits reporting, unemployment maintenance, and certified payroll compliance. This role is responsible for ensuring accurate and timely payroll processing across multiple entities while maintaining compliance with federal, state, union, and company requirements. The ideal candidate is highly organized, analytical, and capable of managing multiple payroll-related processes in a fast-paced environment.

Primary

Responsibilities Payroll Processing & Administration
  • Process weekly payroll for multiple companies and affiliated entities.
  • Verify union classifications and pay rates are current within payroll systems prior to processing.
  • Enter and maintain timesheet data, project assignments, and labor classifications to ensure accurate payroll calculations and union fringe allocations.
  • Utilize Excel-based time import tools to process large-volume payroll data efficiently.
  • Ensure payroll is processed accurately and distributed on schedule each week.
  • Provide payoff check information during assigned evenings, weekends, and holidays as needed.
Compliance & Reporting
  • Assist with the preparation and submission of certified payroll reports.
  • Process child support garnishments and related payroll deductions.
  • Maintain unemployment insurance rates within payroll systems and update as required.
  • Transmit unemployment information to designated third-party providers on a weekly basis.
  • Prepare and submit weekly union fringe benefit reports.
  • Process termination reports and employment verification requests.
  • Support unemployment audits and regulatory compliance initiatives.
  • Perform weekly payroll balancing and reconciliation activities.
Payroll Operations Support
  • Provide backup support for Payroll Associate functions when necessary.
  • Ensure payroll records are accurate, complete, and maintained in accordance with company policies.
  • Support continuous improvement efforts to streamline payroll processes and reporting.
Qualifications Required Education & Experience
  • Bachelor's degree in Accounting, Finance, Business Administration, or related field; or an equivalent combination of education and experience.
  • Minimum of 2 years of payroll, general ledger, accounting, or related financial administration experience.
  • Experience processing high-volume payroll preferred.
  • Experience working with union payroll, certified payroll, or construction payroll environments is highly desirable.
Knowledge, Skills & Abilities
  • Strong understanding of payroll practices, payroll tax regulations, and compliance requirements.
  • Proficiency in Microsoft Excel and Microsoft Office Suite.
  • Ability to manage multiple deadlines while maintaining a high level of accuracy.
  • Strong analytical, organizational, and problem‑solving skills.
  • Excellent attention to detail and commitment to data integrity.
  • Effective written and verbal communication skills.
  • Ability to work independently and collaboratively across departments.
Travel Requirements
  • Occasional travel to company offices, client locations, project sites, subcontractors, suppliers, and other business locations throughout North America may be required.
Work Environment

This position is primarily performed in a professional office environment. The role may occasionally require visits to fabrication facilities, warehouses, maintenance shops, or active project sites where exposure to moving equipment, construction activities, noise, weather conditions, and other industrial environments may occur. Appropriate personal protective equipment (PPE) must be worn when required.

Physical Requirements
  • Ability to sit, stand, walk, bend, kneel, and move throughout office and project environments.
  • Ability to regularly use computers and standard office equipment.
  • Occasionally lift and/or move up to 50 pounds.
  • Ability to maintain visual focus and perform detailed work involving payroll and financial records.
