Job Description

Job Summary

This position is responsible for providing administrative support for department operations.

Major Duties
  • Answers telephone and greets visitors; provides information and assistance and refers to appropriate personnel.
  • Answers questions and responds to public complaints about services and activities.
  • Schedule the use of Parks and Recreation facilities.
  • Registers participants for department programs and assist with completion of forms.
  • Assists public with use of online department platform.
  • Ensures participants adhere to safety and county policies and procedures.
  • Collects, receipts, and accounts for program and rental fees.
  • Posts checks, balances accounts, and enters data for vendor sheets.
  • Assists with invoicing sponsors, vendors, and users.
  • Assists with financial functions including processing invoices, budget records, and revenue reports.
  • Prepares and maintains applicable records and reports.
  • Enter employee time sheets and balances as needed.
  • Assists program coordinators and director with programs and public events.
  • Communicate program and facility needs to full time and part time recreation staff.
  • Assists in ordering and purchasing equipment, supplies, and materials.
  • Performs basic organization and upkeep of office space.
  • Performs related duties.
Knowledge Required by the Position
  • Knowledge of modern office practices and procedures.
  • Knowledge of county and departmental policies and procedures.
  • Knowledge of computers and job-related software programs.
  • Knowledge of generally accepted accounting principles.
  • Skill in prioritizing and organizing work.
  • Skill in the maintenance of files and records.
  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in oral and written communication.
Supervisor Controls

The Parks and Recreation Director assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

Guidelines

Guidelines include facility and program rules and regulations and county and department policies and procedures. These guidelines are generally clear and specific but may require some interpretation in application.

Complexity / Scope of Work
  • The work consists of related administrative duties. Frequent interruptions contribute to the complexity of the position.
  • The purpose of this position is to provide administrative support for department operations. Successful performance contributes to the efficiency and effectiveness of those operations.
Contacts
  • Contacts are typically with co-workers, other county employees, coaches, referees, parents, volunteers, vendors, and members of the general public.
  • Contacts are typically to give or exchange information, resolve problems, and provide services.
Physical Demands / Work Environment
  • The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, stooping, bending, crouching, or walking. The employee occasionally lifts light and heavy objects.
  • The work is typically performed in an office and outdoors, occasionally in cold or inclement weather.
Supervisor and Management Responsibility

None.

Minimum Qualifications
  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
  • Possession of or ability to readily obtain a valid driver’s license issued by the State of North Carolina for the type of vehicle or equipment operated.
