What you'll do
  • Assist in the coordination and execution of operational processes to enhance efficiency and productivity across the organization.
  • Manage scheduling and logistics for meetings, ensuring all necessary materials and resources are prepared in advance.
  • Maintain and organize operational documentation, including reports, contracts, and correspondence, to ensure easy access and compliance.
  • Collaborate with team members to track project progress, deadlines, and deliverables, providing updates to management as needed.
  • Support the onboarding process for new employees, including preparing training materials and facilitating orientation sessions.
  • Handle inquiries from clients and vendors, providing timely and professional responses to enhance relationships and service quality.
  • Monitor inventory levels and assist in procurement processes to ensure that necessary supplies and resources are available.
  • Utilize project management tools to assist in planning and executing operational projects, ensuring adherence to timelines and budgets.
  • Conduct research and analysis to support decision-making processes and identify areas for operational improvement.
  • Assist in the preparation of presentations and reports for internal and external stakeholders, ensuring clarity and professionalism.
  • Participate in team meetings, contributing ideas and feedback to foster a collaborative work environment.
  • Support various ad-hoc projects as assigned by management, demonstrating flexibility and a willingness to learn.
Requirements
  • A minimum of 2 years of experience in an operations or administrative role, preferably in a fast-paced environment.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent verbal and written communication skills in both Greek and English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
  • Ability to work independently as well as collaboratively within a team.
  • Strong attention to detail and problem-solving skills, with a proactive approach to identifying and addressing challenges.
Nice to have
  • Experience in the technology or consulting sectors is a plus.
  • Familiarity with customer relationship management (CRM) systems and data analysis tools.
  • Knowledge of process improvement methodologies, such as Lean or Six Sigma.
  • Previous experience in a role that required interaction with clients or stakeholders.
Skills & tools

  • Familiarity with project management tools (e.g., Trello, Asana, or similar)
