Schedule: Full-time, onsite Monday-Friday

Salary: $18.75–$23.75 per hour

KMRG, LLC (KMRG) is a federal services company that hires talented professionals to support Government agencies and the communities they serve. We are hiring a Legal Support Specialist to join our team and provide onsite support to the U.S. Attorney’s Office for the Northern District of Mississippi (USAO NDMS) in Oxford, MS.

In this role, you will help keep the office’s daily operations organized and on track by supporting case management, court filings, records, visitor coordination, and other key administrative functions.

This position is a strong fit for someone who is dependable, detail-oriented, and comfortable working in a busy professional environment. You will play an important behind-the-scenes role in helping attorneys and staff manage federal cases accurately and efficiently.

RESPONSIBILITIES Reception & Office Support
  • Answer, screen, and route incoming telephone calls
  • Greet visitors and determine the appropriate office contact
  • Issue visitor badges and maintain visitor sign-in logs
  • Ensure visitors follow applicable office and security procedures
  • Receive, date stamp, sort, and log incoming mail and deliveries
  • Prepare outgoing mail, correspondence, and light shipments
  • Operate photocopiers, mailing equipment, multiline phones, fax machines, and other office systems
  • Reserve conference rooms and Government vehicles through online calendars
Case Management & Data Entry
  • Open civil and criminal cases based on approved authorizations
  • Enter case-opening information into Case View or other Government case-management systems
  • Create appellate records and enter case closures and declinations
  • Send new-case notifications identifying the case number and electronic file location
  • Review source documents and online databases before entering case information
  • Verify the completeness and accuracy of case data
  • Identify and correct data-entry errors or inconsistencies
  • Maintain logs documenting data-entry activity and corrections
Court Filing & Document Support
  • Electronically file court documents through applicable court systems and online portals
  • Upload, organize, and maintain legal and administrative documents
  • Generate forms, correspondence, and other documents from approved templates
  • Create and maintain organized paper and electronic files
  • Archive or prepare records and electronic media for authorized destruction
  • Support document version control, secure storage, and file sharing
  • Perform copying, scanning, filing, and document-production assignments
Records & Confidentiality
  • Maintain accurate case, administrative, and office records
  • Protect confidential, Privacy Act-protected, law-enforcement-sensitive, and proprietary information
  • Follow applicable Department of Justice records-management and privacy procedures
  • Ensure Government information remains within authorized systems and facilities
  • Perform related administrative-support duties as assigned
REQUIRED BACKGROUND
  • Experience providing administrative, legal-office, records, data-entry, customer-service, or similar professional support
  • Ability to perform detailed data entry with a high degree of accuracy
  • Ability to organize assignments involving multiple steps and changing priorities
  • Experience creating, maintaining, and organizing paper and electronic files
  • Ability to review information, identify discrepancies, and correct errors
  • Proficiency with Microsoft Office and standard office technology
  • Ability to learn Government case-management and electronic filing systems
  • Strong written and verbal communication skills
  • Professional judgment when interacting with visitors, attorneys, and office personnel
  • Ability to maintain confidentiality and handle sensitive information responsibly
  • Ability to work independently and collaboratively in a professional office environment
PREFERRED BACKGROUND
  • Experience supporting a legal, court, Government, law-enforcement, or similarly regulated office
  • Experience opening, maintaining, or closing legal or administrative cases
  • Familiarity with civil or criminal case records
  • Experience using Case View or a comparable case-management system
