This position will fill two primary functions: planning logistics ahead of classes and serving as an on-site course administrator.
A large portion of the job involves paperwork, computer work, and logistical planning. This position requires proficiency in Excel, Word, and email programs. The candidate must be a self-starter and complete tasks on time. The training coordinator may also serve as an instructor.
- Must be willing to travel in a personal vehicle with ample storage space for class materials (mileage reimbursement provided for travel to classes).
- Must be willing and able to be away from home for a week at a time; some months you may be away up to 2–3 weeks.
- Must be willing to travel to Oxford approximately 5 times annually for administrative meetings and office work without mileage reimbursement.
- Will be present at training classes at the Director's discretion; the training coordinator may serve as the lead instructor when the Director is not present.
- Will serve as the class administrator and is responsible for class management and paperwork.
- Will ensure adequate resources are on site to conduct each class and will make administrative decisions should any problems arise.
- Will be familiar with all curricula (SFST, ARIDE, and DRE) and will ensure all curricula are administered and taught according to NHTSA standards.
- Will assign duties to adjunct instructors and schedule an adequate number of instructors for each class.
- Will maintain on‑site records of class rosters and grades.
- Will issue certificates accordingly.
- Will notify instructors of pre‑class instructor meetings.
- Will receive and grade field test logs, issue certificates, post congratulatory notations on social media, and send follow‑up communication to persons who need to re‑submit logs.
- Will ensure the publicly posted training calendar is up‑to‑date with class dates, times, locations, and registration instructions.
- Will organize materials from previous classes required for record retention.
- Will oversee the planning and follow‑up of all classes.
- Will organize and maintain office files and training records.
- Will maintain large databases of class participants and program statistics.
- Will assist with clerical work and grant reporting as needed.
- Will notify area agencies of future training, facilitate the registration process, and conduct follow‑up with registrants to confirm attendance and ensure classes are filled.
- Will follow up with attendees within 45 days following an SFST course to encourage completion of certification.
- Will help with instruction in classes if local instructors are not available.
- Will manage logistics for trainings such as reserving hotels, securing classroom space, providing classroom materials, coordinating travel vouchers for adjunct instructors, and handling other paperwork and documentation.
