Administrative Specialist I-Thornton Branch
Performs a variety of responsible clerical support and office duties requiring knowledge of departmental rules, regulations, procedures, and services.
An employee in this class performs clerical support, records processing, data entry, customer service, and related office duties. Responsibilities include greeting the public, answering questions, providing information, preparing documents, and creating and maintaining accurate files and records. Duties require tact, courtesy, and discretion when handling sensitive or confidential matters. Work follows established procedures, with precedent-setting situations referred to others. The position uses modern office technology, including word processing, databases, spreadsheets, and other software applications.
Work is performed under regular supervision and evaluated through observation, conferences, and the quality and effectiveness of completed work.
- Answers telephone calls and responds to inquiries in person and by phone.
- Directs calls and visitors and provides appropriate program and department information.
- Selects appropriate materials to answer questions and provide assistance; opens, sorts, and distributes incoming mail.
- Reviews and verifies records and reports to ensure information is accurate and complete.
- Prepares correspondence, memoranda, and other documents from handwritten notes or verbal instructions.
- Proofreads documents for typographical and spelling errors.
- Copies, collates, binds, faxes, emails, and distributes information in various formats.
- Compiles information using standardized forms and established instructions; may develop forms and formats to improve efficiency.
Graduation from high school is supplemented by business courses and some secretarial or clerical experience; or an equivalent combination of education and experience.
Knowledge and Skills- Considerable knowledge of modern office procedures and related office information technology equipment, software, and peripherals.
- Working knowledge of ordinances, regulations, procedures, and practices related to the area of assignment and the organization's personnel and financial procedures.
- Skill in the use of information technology hardware and associated software, including word processing, spreadsheets, and databases used in the area of assignment.
- Ability to work independently on responsible administrative support tasks, including those involving confidential or sensitive information.
- Ability to establish and maintain effective working relationships with supervisors, coworkers, customers, and the general public.
- May require a Notary Certificate.
