A Scheduling Manager plays a critical role in a skilled nursing facility by ensuring the right staff are scheduled to meet resident care needs while maintaining compliance with staffing regulations. The Manager coordinates schedules for nurses, nursing assistants, and other healthcare team members, providing consistent, high‑quality care around the clock, reducing overtime costs, minimizing staffing shortages, and supporting employee satisfaction.

In This Role You Will:
  • Develop and maintain staff schedules for the department(s) to ensure adequate coverage for all shifts while optimizing staff resources.
  • Serve as the primary point of contact for employee scheduling inquiries and adjustments.
  • Communicate effectively with department heads, supervisors, and staff members to address scheduling concerns and resolve conflicts promptly.
  • Make appropriate adjustments to employee schedules based on resident census (PPD requirements) and other needs.
  • Post schedule in advance and ensure scheduling matters are handled consistently and fairly.
  • Track and monitor staff attendance and performance metrics such as punctuality and overtime hours, notifying supervisors of concerns when appropriate.
  • Document worked hours, overtime, shift differential, bonus pay, paid time off, bereavement, jury duty, and department/unit transfer on the employee schedule and timecard; assist with PBJ reporting as needed.
  • Identify and communicate trends and areas for improvement, implementing strategies to optimize scheduling efficiency and staff satisfaction.
  • Perform other duties as assigned.
  • Assemble medical records and ensure all information is protected and secured in accordance with HIPAA and other privacy requirements.
  • Upload completed medical documents into the EMR system.
  • Work hours are 8 a.m.–4 p.m., Monday–Friday, with no weekends or holidays; flexibility is required to accommodate staffing needs.
Who You Are:
  • High school diploma or GED equivalent.
  • Minimum of 3 years of experience in staff scheduling or relevant experience, including prior use of scheduling software (UKG Pro and Workforce Management) and Microsoft Office suite.
  • Prior experience in a healthcare or senior living setting such as STNA or LPN preferred.
