A Scheduling Manager plays a critical role in a skilled nursing facility by ensuring the right staff are scheduled to meet resident care needs while maintaining compliance with staffing regulations. They coordinate schedules for nurses, nursing assistants, and other healthcare team members, helping to provide consistent, high-quality care around the clock. Effective scheduling helps reduce overtime costs, minimize staffing shortages, and support employee satisfaction.

By balancing operational demands with staff availability, the Scheduling Manager directly contributes to both resident well‑being and the facility's overall success.

In This Role You Will:
  • Develops and maintains staff schedules for the department(s) to ensure adequate coverage for all shifts while optimizing staff resources.
  • Serves as the primary point of contact for employee scheduling inquiries and adjustments.
  • Communicate effectively with department heads, supervisors, and staff members to address scheduling concerns and resolve conflicts promptly.
  • Makes appropriate adjustments to employee schedules based on resident census (PPD requirements) and other needs.
  • Posts schedule in advance and in accordance with departmental requirements. Ensure scheduling matters are handled consistently and fairly.
  • Tracks and monitors staff attendance and performance metrics such as punctuality and overtime hours. Notifies supervisor of concerns, when appropriate.
  • Ensures that worked hours, overtime hours, shift differential, bonus pay, paid time off, bereavement, jury duty and department/unit transfer are appropriately documented on the employee schedule and timecard. Assists with PBJ reporting, as needed.
  • Identifies and communicates trends and areas for improvement and implement strategies to optimize scheduling efficiency and staff satisfaction.
  • Performs other duties as assigned.
  • Assembles medical records and ensures all information is protected and secured in accordance with HIPAA and other privacy requirements.
  • Uploads completed medical documents into the EMR system.
  • Hours are 8a-4p, Monday
    - Friday no weekends or holidays! The ideal candidate will have some flexibility in their schedule to accommodate staffing needs.
Who You Are:
  • High school diploma or GED equivalent
  • Minimum of 3 years of experience in staff scheduling or relevant experience and prior experience using scheduling software (UKG Pro and Workforce Management) and Microsoft Office suite.
  • Prior experience in a healthcare or senior living setting such as STNA or LPN, preferred.
