The Oxford Collection is a small, privately owned group of two luxury 5
* hotels and apartments, three restaurants that consist of the Old Bank Hotel, the Old Parsonage Hotel, 36 St Giles, Parsonage Grill, Gees Restaurant & Bar, and Quod Restaurant & Bar. We are looking for a Part-time Reservations and Events Coordinator to join our team at the Old Parsonage Hotel in Central Oxford.

Responsibilities
  • To be responsible and take ownership for all room and event’s reservations for The Oxford Collection.
  • To be confident in knowing all systems for The Oxford Collection for Rooms, F&B, Events Sales and Revenue.
  • To take ownership and process deposits for all room and event reservations and to ensure that guests are fully aware of the hotel's cancellation policies.
  • Having a thorough knowledge of all the Hotels’ computer systems to ensure that all records and booking details are correct at all times.
  • Ensuring that all reservations are confirmed in writing as per the Company standards.
  • Understanding the standards of performance set out in the Leading Quality Experience report for the group and adhering to them at all times.
  • Maximising revenue by selling and up-selling at all times.
  • To ensure all bookings display correct source and segmentation on the booking date.
  • To practice effective rate management through familiarisation with the hotel business trends, relevant to seasonal and local market forces.
  • To have full knowledge of all special offers and promotions and to be intuitive in offering them where appropriate.
  • To provide Front and Back of House Hotel and Restaurant teams with timely, detailed, and relevant guest information to enhance their experience.
  • To proactively cross-sell The Oxford Collection hotels, venues and restaurants and to secure group business by offering alternative or fall-back options.
  • To sell and handle all reservations inquiries via phone, email or in person, conducting and taking ownership for show rounds when required, and ensuring proactive follow-up.
  • To process, send, and receive booking proposals and contracts, purchase orders, accounts and outstanding/aged payments.
  • To follow-up on and communicate sales leads, i.e. new agents/partners, to the reporting line and to ensure they are added to the relevant system and database.
Qualifications
  • Self-motivated, driven, results-oriented, proactive, positive attitude
  • Excellent communication and interpersonal skills
  • Excellent people management skills
  • Highly organised, with the ability to work under pressure and meet deadlines
  • Reservations, events and guest relations experience within the luxury hospitality sector would be beneficial

We offer working 25 hours per week over 5 days (5 hours per shift), Monday to Friday rota with two days off. Due to the needs of the business you will also be required to work on Saturdays and Sundays should the company require it. You will be offered a salary of £13.32 per hour, £17,316.00 per annum, including non-contractual service charge (tronc).

Eligibility to work within the UK must be proven and two references should be available on request.
