Located in Oxnard, California, AST operates out of a cutting-edge facility spanning over 250,000 sq. ft., including our newest expansion completed in 2024. AST employs approximately 185 skilled professionals across multi-shift operations, ensuring efficiency, precision, and timely delivery for mission-critical industries.

Position Overview

We are seeking a highly organized and detail-oriented Business Development Administrative Assistant to directly support our Director of Business Development. This is an administrative and coordination-focused role responsible for organizing customer meetings, maintaining proposal documentation, tracking action items, supporting data analysis, and managing business development reporting tools.

The ideal candidate thrives in a support capacity, enjoys working behind the scenes to keep projects organized and moving forward, and is comfortable handling sensitive financial and customer information with discretion and professionalism.

Key Responsibilities
  • Support customer status meetings (Zoom, Teams, in-person), including scheduling, confirming attendance, updating status charts, and preparing presentation materials
  • Maintain and update PowerPoint presentations for monthly and quarterly business reviews
  • Track proposal documentation using Excel; set up forms, manage version control, and maintain proposal tracking sheets
  • Download and organize customer files; monitor drawing revisions and notify leadership of changes
  • Assist with gathering financial and performance data from Accounting, Purchasing, Engineering, and Production as directed
  • Track action items and follow up with action item owners across departments to ensure timely responses to customer inquiries
  • Support reconciliation of shipments, invoices, and documentation within the ERP system, email records, and customer portals
  • Export data from the ERP system and update internal Excel spreadsheets for forecasting, planning, and reporting
  • Collect production status; reconcile production tracking spreadsheets with customer’s plans and annual planning spreadsheets
  • Conduct web research on customers, competitors, government programs, space vehicles, and related markets
  • Assist with on-site customer visits, including logistics, meeting coordination, and hospitality support
  • Maintain organized electronic filing systems and navigate shared network drives efficiently
  • Support administrative details that ensure smooth day-to-day operations
Qualifications
  • 2 – 5 years of administrative, operations support, or business support experience
  • Strong written and verbal communication skills
  • High level of discretion and trustworthiness with financial and customer data
  • Highly organized with exceptional attention to detail
  • Comfortable working in a fast-paced small company environment
  • Persistent, resourceful, and proactive in following up on open items
  • Strong problem-solving skills and ability to work independently
  • Prior administrative experience with a manufacturing organization and particular exposure to scheduling in a high-mix, low-quantity manufacturing organization a big plus.
