Job SummaryAs a Receptionist, you will be the first impression to all and will operate the switchboard in addition to being the point of contact for all visitors, making sure guests feel comfortable and secure throughout their visit. Responsible for establishing a welcome, warm, and professional atmosphere for all clients, recruits, customers and employees.
AdditionalJob Duties & Responsibilities
- Coordinate the daily dispatch, scheduling, and routing of maintenance technicians across Oxnard, Bakersfield, and San Luis Obispo to ensure timely service and efficient resource utilization.
- Prioritize and assign service calls based on machine downtime, customer needs, technician skill sets, travel time, and operational priorities.
- Serve as the primary communication hub between field technicians, leadership, operations teams, and customers regarding maintenance schedules and service status.
- Monitor technician workloads, route efficiency, and work completion throughout the day, making real‑time adjustments as priorities change.
- Maintain and update preventive maintenance schedules to ensure equipment inspections and recurring service are completed on time.
- Track service requests, work orders, parts availability, and technician progress while ensuring accurate documentation within company maintenance systems.
- Partner closely with the Maintenance Manager to identify scheduling trends, improve technician productivity, and support continuous improvement initiatives across the district.
- Promote a culture of safety, accountability, and customer service by ensuring maintenance activities are coordinated efficiently while supporting company policies and operational standards.

- Properly greet and handle visitors with a smile and maintain eye contact throughout the interaction. Address guests and clients by name whenever possible.
- Answer telephones in a friendly, professional manner, take messages with accuracy and appropriately handle or refer questions and requests.
- Handle on‑floor conference room activities, both visually and through the reservations system, being aware of meeting start/end times, room attendees, food and beverage orders, etc. Advise appropriate staff members of changes in meeting room status or special requests.
- Implement established security policies and procedures concerning arriving and departing visitors, contractors, delivery persons, etc.
- Act as a Hospitality Services resource to guests, visitors, and employees by providing way‑finding and amenities within the building, commuting, transportation, community retail, neighborhood amenities, and organizational information.
- Handle car service requests for visitors and staff members.
- Communicate requests to the appropriate internal support departments such as building maintenance (heating and cooling issues), IT (computer issues), AV technology (meeting room technical support), and mail room (package pickups and deliveries).
- Perform other duties as assigned.
- Two to three years of experience in a client service or reception position within a hospitality or corporate environment.
- Computer skills and knowledge of office technology/equipment.
