Motobilt, Inc., located in Ozark, AL, is currently looking for a skilled Bookkeeper/Office Manager with extensive Quickbooks Online experience. This position is responsible for managing all business‑related activities of the Corporation including payroll processing, accounts receivable, accounts payable, general ledger, personnel files, supervising office related work and staff, maintaining compliance with all regulatory standards and communicating with management on all appropriate matters.
PrincipalDuties and Responsibilities Payroll
- Time, Attendance, & Payroll— Responsible for processing weekly payroll for all employees including exempt and non‑exempt
- Oversee timecards and support managers on using the timekeeping system
- Ensure we use compliant practices and record keeping and the appropriate payroll processes, laws and regulations are adhered to
- Assist employees with payroll questions
- Enroll all new hires into payroll and benefit systems
- Compile payroll data such as garnishments, vacation time, insurance deductions
- Contact various department supervisors/managers for any missed times
- Pull many internal management reports
- Timely termination of employees in both payroll and benefit systems
- Review and verify invoices and check requests
- Sort, code and match invoices to purchase orders and invoices
- Set invoices up for payment
- Prepare and perform check runs
- Post transactions to journals, ledgers and other records
- Reconcile accounts payable transactions and vendor statements
- Research and resolve invoice discrepancies and issues
- Maintain vendor files, correspond with vendors and respond to inquiries
- Assist and/or record all bank transfers weekly with established accounting procedures
- Process all incoming mail daily
- Print weekly aging report for payment
- Prepare/distribute reports monthly or as requested
- Maintain 1099 processes
- Provide assistance and resolution to external and internal client inquiries
- Reconcile accounts with discrepancies
- Apply customer payments
- Research and solve payment discrepancies
- Make adjustments to accounts, as needed
- Monitor aging and provide regular updates to management regarding overdue and/or overextended accounts and make recommendations for bad debt write‑offs
- Process refund requests for customers
- Prepare miscellaneous cash receipts for deposit
- Manage Accounts Receivable function in online banks and ensure billing is completed and payments are posted and collected timely
- Extensive Quickbooks Online experience 3 years (Required)
- Manage the monthly financial close process, including ensuring all costs incurred are properly recorded, reviewing journal entries, account balance reconciliations and report preparation
- Maintain general ledger and general journal entries
- Reconcile all bank statements on a monthly basis
- Establish processes and internal controls
- Manage and train accounting staff
- Provide support to external CPA for all aspects of Income Tax reporting and audits
- Submit monthly Sales Tax reports and payments
- Maintain a professional attitude and confidentiality at all times
- Excellent leadership and management skills. Excellent interpersonal skills and the ability to manage a variety of cross‑functional team members. Excellent organizational and follow‑up skills, competent in problem solving, team building, planning and decision making.

Exceptional knowledge of finance, accounting, budgeting, cost accounting and cost control principles, and Generally Accepted Accounting Principles (GAAP) - Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Position is located in Ozark, Alabama at 323 Van Heusen Drive. Hours of work are Monday through Friday from 8:00am until 5:00pm. Benefits include: paid vacation, paid holidays, paid personal time, BCBS health and dental insurance and the opportunity to work with an awesome team.
