Overview
Administrative Assistant – Pacifica, CA. Robert Half is placing an administrative assistant with a local government agency on the coast. The role is available to start as soon as Wednesday, 04/16/25.
Responsibilities- Receives calls and complaints from the public and property owners, and prepares work orders for the water and street departments for issues such as leaks, broken mains, sewer problems, low pressure, plugged meters, street signs, plugged storm drains, snow removal, and other maintenance tasks.
- Issues permits and licenses, schedules appointments, arranges meetings, and records all transactions.
- Monitors reports, makes preliminary determinations about emergency status, apprises department supervisors, follows established procedures for emergencies, maintains incident documentation, and follows up to assure completion.
- Reviews employee time cards, submits them to personnel for processing, maintains records of start, quit, and leave accruals, and prepares and distributes monthly timecards.
- Monitors accounts payable, prepares invoices, and mails invoices to contractors and citizens for excess water usage or other billing matters.
- Collects data from departmental divisions and programs, organizes it into reports and documents, maintains records and file systems, maintains office inventory, orders supplies, and performs general bookkeeping.
- Experience with Tyler Munis is ideal.
- Proficiency in Microsoft Outlook for managing correspondence and appointments.
- Proficiency in Microsoft Excel for data management, spreadsheet creation, and calculations.
- Prior experience in an administrative role within the government sector is preferred.
- Strong organizational skills to manage files, records, and correspondence.
- Excellent communication skills for liaising with departments and stakeholders.
- Ability to multitask and prioritize work effectively.
