The Challenge (Job Summary) :As an Administrative Assistant, you provide essential administrative and operational support to ensure the efficient day-to-day functioning of the physician office. You serve as a key resource for communication, scheduling, document management, and coordination across departments, helping create an organized and productive work environment.
This role requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities while maintaining confidentiality and delivering exceptional internal and external customer service.

Essential Functions:
- Answer and screen incoming telephone calls, emails, and other communications.
- Maintain calendars and coordinate appointments, meetings, conferences, and travel arrangements as needed.
- Prepare and distribute correspondence, reports, presentations, and meeting materials.
- Receive visitors and direct them appropriately while maintaining a professional office environment.
- Create, update, and maintain spreadsheets, databases, filing systems, and office records.
- Coordinate communication and workflow between departments to facilitate efficient operations
- Assist with special projects and administrative initiatives as assigned.
- Maintain confidentiality of sensitive business, employee, and patient information.
- Ensure compliance with HIPAA, privacy regulations, and NOMS policies and procedures.
- Support office efficiency through organization, problem-solving, and proactive follow-up.
- Perform other duties as assigned.
- Knowledge of administrative support practices and office procedures.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Skill in creating and maintaining spreadsheets, reports, and office documentation.
- Ability to organize, prioritize, and manage multiple tasks in a fast-paced environment.
- Strong attention to detail and accuracy.
- Ability to analyze information and resolve routine problems independently.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong interpersonal and customer service skills.
- Ability to collaborate effectively as part of a team while also working independently
- Adaptability and flexibility to support changing business needs.
- High school diploma or GED required.
- Associate degree in Business Administration, Healthcare Administration, or related field preferred.…
