Receptionist / Office Assistant
St. Johns Ship Building is looking for an experienced Front Desk Receptionist/Office Assistant. Candidates must have an upbeat attitude, exceptional customer service, and be a self‑starter.
We prefer someone with experience using Infor Visual software, but it is not required. Industry experience is not needed; opportunity for increased compensation and responsibilities are available for the right person.
Responsibilities- Solid written and verbal communication skills. The ability to communicate effectively (clear, concise and professional).
- Demonstrated professionalism in all aspects of the role.
- Proficiency in Microsoft Office software applications, specifically Word and Excel (required).
- Analytical and problem‑resolution skills.
- Ability to work in a team environment to ensure a common goal of providing exceptional client service.
- Ability to work well under pressure with multiple priorities and deadlines in a demanding environment.
- Quality focus with attention to detail.
- Greet persons entering the establishment, determine nature and purpose of their visit, and direct or escort them to specific destinations.
- Operate telephone switchboard to answer, screen or forward calls, provide information, take messages, or schedule appointments.
- Schedule appointments and maintain and update appointment calendars.
- Perform administrative support tasks such as proofreading and transcribing handwritten information.
- File and maintain records.
- Transmit information or documents to customers using computer, mail or facsimile software.
- Analyze data to answer questions from customers or members of the public.
- Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
- Process and prepare memos, correspondence, travel vouchers, or other documents.
- Collect information about potential projects.
- High school diploma.
- Reliable transportation.
- Knowledge of insurance verification.
- Proficient in phone scheduling.
- Dependable, solid work ethic.
- Great communication skills.
- Able to use document processing tools and email with proper etiquette.
- Maintain a clean and tidy workplace.
Works alone and with a team.
