Key Responsibilities
- Open and manage new legal files with accuracy and organization
- Prepare, scan, and maintain forms, authorizations, and case documentation
- Request, track, and organize medical records, insurance information, and billing statements
- Draft and send correspondence on behalf of the legal team
- Maintain structured and detailed client file systems
- Assist with claims reporting, insurance follow-up, and document retrieval
- Support preparation of materials for demand packages and pre-litigation submissions
- Handle high-volume scheduling for attorneys and assist with calendar management
- Scan and upload daily mail into the case management system (ATO)
- Provide back-office administrative support across paralegal teams
- Perform clerical duties including copying, scanning, data entry, and file maintenance
- Coordinate with medical providers, insurance contacts, and internal teams as needed
- Assist attorneys and paralegals with additional tasks as assigned
Qualifications
- 1–3 years of administrative, clerical, office support, or high-volume scheduling experience
- Prior legal, medical records, insurance, claims, or case management experience is a plus, but not required
- Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment
- High attention to detail with strong accuracy in documentation and data entry
- Excellent written and verbal communication skills
- Ability to thrive within a structured, high-volume workflow
- Interest in growing a career within the legal field; eager to learn and take on responsibility
- Bilingual Spanish is a plus, but not required
