Key Responsibilities

  • Open and manage new legal files with accuracy and organization
  • Prepare, scan, and maintain forms, authorizations, and case documentation
  • Request, track, and organize medical records, insurance information, and billing statements
  • Draft and send correspondence on behalf of the legal team
  • Maintain structured and detailed client file systems
  • Assist with claims reporting, insurance follow-up, and document retrieval
  • Support preparation of materials for demand packages and pre-litigation submissions
  • Handle high-volume scheduling for attorneys and assist with calendar management
  • Scan and upload daily mail into the case management system (ATO)
  • Provide back-office administrative support across paralegal teams
  • Perform clerical duties including copying, scanning, data entry, and file maintenance
  • Coordinate with medical providers, insurance contacts, and internal teams as needed
  • Assist attorneys and paralegals with additional tasks as assigned

Qualifications

  • 1–3 years of administrative, clerical, office support, or high-volume scheduling experience
  • Prior legal, medical records, insurance, claims, or case management experience is a plus, but not required
  • Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment
  • High attention to detail with strong accuracy in documentation and data entry
  • Excellent written and verbal communication skills
  • Ability to thrive within a structured, high-volume workflow
  • Interest in growing a career within the legal field; eager to learn and take on responsibility
  • Bilingual Spanish is a plus, but not required
