Position Summary

Provides support for membership accounting, sales, and servicing of existing members. Frequently communicates with members in-person and via email. Handles new member account setup and performs office reception duties, clerical work, and phone support for the Accounting Rental Pool and Membership Department.

Essential Job Functions
  • Responsible for member billing of dues and initiation fees, inquiries, monthly statements, and posting membership payments.
  • Run credit reports for new membership applications.
  • Assist in creating new member files in SMS and edit member information as needed including cancellations, new credit card updates, etc.
  • Post membership dues for all membership types.
  • Post referral fees for new memberships.
  • Set up and post recurring membership charges for miscellaneous charges, such as cable, telephone lines, etc.
  • Contact delinquent members and file a lien if necessary.
  • Assist new members with access to the members portal.
  • Answer incoming calls to the membership accounting office and handle member needs regarding billing and any membership inquiries; refer new member inquiries to the Director of PR & Membership.
  • Assist the membership coordinator (Membership office) if needed.
  • Operate key office equipment including but not limited to computer, fax machine, and copier.
  • Maintain a complete understanding of membership categories, sales processes, and new member enrollment processes.
  • Review Member Portal to help better respond to members.
Additional Responsibilities
  • Assist in the preparation of monthly membership reports for the Board of Governors.
  • Maintain flexibility to take on new and different tasks as directed by the Director.
  • Incorporate safe work practices into job performance.
  • Attend member functions when requested to co-host, assist members, check in members, etc.
  • Attend staff meetings.
Education/Experience

Bachelor’s Degree (BS or BA) or equivalent; or 2 years related experience and/or training; or an equivalent combination of education and experience.

Language Skills
  • Excellent written and verbal communication skills.
  • Read and interpret documents in English such as safety rules, operating and maintenance instructions, procedural manuals, newspapers, periodicals, journals, and manuals.
  • Write routine reports, correspondence, business letters, summaries, and reports using prescribed format, and conforming to all rules of punctuation, grammar, and style.
  • Ability to speak effectively before groups such as members, guests or staff members.
Reasoning Ability
  • Apply common-sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Use mathematical skills to interpret financial information and prepare reports.
  • Read and interpret business records and statistical reports.
  • Make business decisions based on reports and similar facts, as well as on experience and personal opinions.
Computer Skills
  • Must have sufficient computer/tech skills to use, proficiently, all Salamander Hospitality‑issued software programs including but not limited to Microsoft Word, PowerPoint, Excel, Springer Mill Property Management system (training provided).
  • Social media platforms:
    Facebook, Instagram, Twitter.
  • Internet browser programs.
  • Knowledge of e‑mail.
  • Knowledge of basic photo taking, editing, resizing images, use of filters, etc.
  • Ability to type accurately at least 50 words per minute.
Physical Demands
  • The physical demands described are representative of those that must be met to successfully perform the essential functions of this job.
  • Regularly required to stand, walk; have manual dexterity to grasp and manipulate objects, reach with hands and arms; stoop, kneel, crouch; talk and hear.
  • Occasionally lift and move up to 15 lbs.
  • Ability to see differences in widths and lengths of lines such as those on graphs.
